**Job Summary**: McIntosh Mortgage Team is looking for a dynamic and motivated individual to join our team as an Office Operations Manager and Marketing Coordinator. This role involves supporting mortgage brokers, managing client relations, and driving our marketing efforts. Location is in our home office located in Langford, BC.

**Key Responsibilities**:
**General Office Management and Client Care**:

- Provide exceptional client service, maintaining a friendly and helpful demeanor to clients.
- Assist with tasks associated wrapping up mortgage files that are closing.

**Document Management**:

- Prepare document packages for other brokers on the team.
- Complete payroll packages for brokers and submit them to head office accounting.
- Prepare invoices for brokers for contract work.

**Client Support**:

- Assist clients with renewals, lock-ins, and mid-term changes such as payment adjustments.
- Send broker consent forms to lenders and facilitate small tasks with lenders on behalf of clients.

**CRM Maintenance**:

- Ensure all information is correct and updated accordingly.

**Client Appreciation**:

- Send thank you cards with gift cards to referrers.
- Helping to facilitate client gifts at closing

**Marketing Support**:

- Develop and implement marketing ideas.
- Attend events and take photos for social media.
- Facilitate client appreciation activities and other events.
- Assist with social media management

**Team Support**:

- Schedule team meetings and liaise with lender reps to create engaging meetings/content.

**Finance**:

- Assist with uploading receipts for expenses and work directly with the bookkeeper.

**Required Skills**:

- Proficient in using of Canva.
- Proficient in using a Mac.
- Working knowledge of Microsoft Office.
- Proficient computer skills.
- Knowledge of QuickBooks is an asset.
- Basic knowledge of mortgages.
- Basic knowledge of Squarespace is an asset.
- Knowledge of FINMO and Zoho CRM (Blumortgage in particular) is an asset.
- Mortgage broker license is an asset.

**Position Details**:

- The position starts at 30 hours per week, with opportunities for growth into a full-time role.
