As a crucial member of our team, you’ll support all administrative and academic operations, ensuring seamless efficiency and top-notch service. **What You’ll Do**:

- Provide reception duties by phone, electronic communications, walk-ins, and virtual platforms to students, staff, faculty members, and the community at large;
- Schedule appointments;
- Assist with the coordination and organization of events, workshops, conferences, or guest speakers;
- Coordinate and set up meetings, prepare agendas and meeting materials, record and distribute meeting minutes;
- Prepare/format/copy correspondence and materials;
- Maintain budget records using FAST, reconcile/monitor accounts and prepare/interpret reports;
- Initiate process of accounts payable either by purchase requisitions or with procurement card and reconcile as needed;
- Track statistics and provide relevant reports;
- Assist with writing, editing, and proofreading materials;
- Generate and distribute decision letters;
- Complete and/or verify forms (eg. reimbursement claim, grade change, etc.);
- Update social media sites and websites;
- Liaise with other university offices and Federated Colleges as needed;

Position Requirements

**What You’ll Bring to this Position**:

- Graduation from Grade 12, supplemented by the successful completion of a one-year business certificate or other post-secondary education;
- Three years of successful experience providing administrative support directly related to the duties listed above; An equivalent combination of education and experience may be considered.

**Skills That Will Ensure Your Success in the Role**:

- Ability to deliver excellent service in a courteous, cooperative, and confidential manner with all clients, including the general public, faculty, staff, and students;
- Demonstrated knowledge of office practices, principles, and procedures;
- Demonstrated experience working in complex databases (eg. Banner, Advisor-Degree Audit, CASPUR, FAST, etc.) and document management systems (Content);
- High level of organizational skills and ability to prioritize, handle multiple tasks efficiently, and meet deadlines while maintaining a keen attention for details;
- Experience in budget monitoring, reconciliation, projections, reporting, and knowledge of accounting principles;
- Experience in managing a calendar for a senior executive and maintaining staff calendars (scheduling meetings and appointments);
- Experience in records management and tracking of information;
- Must have experience providing customer service with demonstrated superior customer service skills;
- Demonstrated knowledge of appropriate methods to deal with confidential material;
- Excellent ability to communicate clearly and concisely both orally and in writing;
- Demonstrated ability to create, compose, and edit a variety of written and electronic material;
- Ability to work with mínimal supervision and make informed, independent decisions in accordance with policies and procedures;
- Demonstrated ability to deal effectively and sensitively with people;
- Must be able to work under pressure, handle a multiplicity
