Assistant to The Vp of Creative Operations

**Job Description**:
The Assistant is responsible for providing administrative support to the VP of Creative Operations, including management of their calendars, preparing presentations or other documents, organizing meetings, taking minutes and following-up on action items.
**Main responsibilities**:
- Assist in the management of administrative tasks (agenda, correspondence, meetings, travel, expenses, etc.) and all related activities to facilitate the role of the VP;
- Organize calendars, define objectives, priorities, and information and reports required for the VP’s appointments, meetings, conferences, seminars, etc.;
- Plan meetings and make arrangements to make sure the meetings run smoothly (welcoming the participants, reservation of rooms, caterer, etc.);
- Coordinate and manage communications related to the VP and maintain and manage good internal and external working relationships with key collaborators;
- Participate in VP’s meetings, take minutes and follow-up on action items;
- Support the VP in the preparation, drafting or revision of various documents. Manage and update of all VP’s files and documents;
- Execute on special projects and events;
- Stay up-to-date on the progress of projects and communicate regularly with the VP to provide updates on project status, issues encountered, and financial, scheduling or other matters;
- Participate in any other activities, projects or related tasks as required.
**Qualifications**:
- 3 years of experience in a similar position;
- DEP in Administration or another related field;
- Fluent communication skills in English and French, spoken and written;
- Advanced knowledge of Microsoft Office and Google Suite;
- Confidentiality, discretion, organization, attention to details and initiative.
