Receptionist/administrator

Job Overview:
**Duties**:
- Assisting lawyers in preparing legal documentation and case files
- Communications with the clients, vendors and authorities
- Perform other general and administrative duties as required
- Greet and welcome visitors in a warm and friendly manner
- Answer phone calls, direct calls to appropriate individuals, and take messages
- Schedule appointments and maintain appointment calendars
- Provide general administrative support such as filing, faxing, and data entry
- Assist with billing and invoicing using Officio software
- Maintain inventory of office supplies and place orders as needed
- Handle customer inquiries and provide accurate information
- Ensure the reception area is clean, organized, and presentable at all times
**Requirements**:
- Previous experience working in a office or similar setting is preferred
- Proficient typing skills with attention to detail
- Familiarity with QuickBooks or similar accounting software is a plus
- Strong organizational skills and ability to multitask effectively
- Excellent customer service skills with a friendly and professional demeanor
- Knowledge of computerized phone systems and basic office equipment
- Ability to maintain confidentiality of sensitive information
- High school diploma or equivalent
