**Job Synopsis**
The Accounts Payable Administrator is a member of the finance team and is responsible for processing accounts payable entries and payments, some account reconciliations, credit card and donations reporting, other accounting transactions and tasks, as needed. The Accounts Payable Administrator is also responsible for our donor and donation data base and manages other aspects of our DPO database; including entering donations received, web/credit card donations, preparing donation receipts, reconciling contributions to receipts and cash accounts, preparing entries to our GL and other donor related tasks/reports as needed. The Accounts Payable Administrator will also assist in general office duties, including preparing bank deposits, taking deposits to the bank, filing, photocopying, preparing new and storing old annual files, sending out department reports, meeting scheduling, and other administrative tasks as needed. The Accounts Payable Administrator will also assist the Controller and Director of Finance with various projects and tasks as the need arises.

Essential:
- Accounts payable experience
- Demonstrated technical competence with Dynamics GP and/or SparkRock
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Accuracy and attention to detail
- Good organizational skills
- Proven efficiency in time management and organizational skills to meet required deadlines
- Able to work independently as well as in a team environment
Preferred:
- Bachelor’s degree in accounting or finance preferred
- Experience with Donor Perfect software is an asset
- Experience working for a non-profit charitable organization is an asset

- Produces various reports using Excel - for MCC provinces, and other Finance staff.
- Assists with processing of Bequests.
- Assists with Year-End Audit and Fiscal Year-End preparation.
- Manages credit card reconciliation process for MCC Canada including creating cardholder reports, payment files, compiling and integrating reports, and managing the reporting structure.
- Payables entry into Dynamics accounts payable sub-ledger and processes all payments, both cheques and EFT payment including the creation of new vendors, updating contact and EFT information as received.
- Ensure most vendors are paid electronically by contacting vendors who are not to obtain their EFT details and set them up for direct deposit
- Creates and manages the accounts payable calendar.
- Maintains mail list updates including address changes and changes to member and donor lists.
- Performs various administrative tasks including data processing, credit card processing, expense reports management and producing some invoices.
- Prepares bank deposits and/or delivers these to the bank.
**Donor Relations and related Accounting - 40%**
- Creates new donors and update existing donor information in DPO
- Manages the DPO database transactions and reports.
- Manages donation processing and acts as backup for receipting.
- Creates the monthly EFT and weekly Web forwarding reports
- Navigates donor inquiries regarding processing donations courteously.
- Accepts and processes phone and mailed-in donations.
- Performs the daily web donation file processing and weekly reconciliation.
- Manages semi-monthly recurring donations.
- Assists with troubleshooting processing issues and errors.
- Manages donation forwarding reports from other agencies.
- Assists Controller and Finance Director with projects, scheduling, and various tasks as they arise.

Base salary: $53,055
