POSITION DESCRIPTION
POSITION Administrative Assistant
DEPARTMENT Engagement and Government Relations
PRIMARY FUNCTION
Provides senior administrative and clerical support to the Director of Engagement and Government
Relations. You will be responsible for your personal safety and that of your co-workers by observing all Occupational Health and Safety Rules and Regulations and AFNWA’s Occupational Health and
Safety Program Manual.
DUTIES AND RESPONSIBILITIES:
- Provides administrative and senior clerical support to assist the Director of Engagement and
- Prepares correspondence and reports from written or verbal instructions. Frequently prepares correspondence that is self-composed.
- Schedules appointments, books boardroom space and equipment, compiles agenda items and background information, records and prepares meeting minutes. Updates Departmental reference manuals/binders and files.
- Manages departmental incoming and outgoing mail and ensures follow-up on outstanding items.
Brings high profile issues, serious complaints, and other matters of priority to the attention of theDirector of Engagement and Government Relations.
- Updates and maintains Departmental filing system.
- Assist in the upkeep of the AFNWA website and social media, providing ongoing development and updates to the individual pages, especially highlighting news sections, community, and operator updates.
- Media monitoring and recording of AFNWA-related conversations on traditional news networks, social media channels (including responding where needed or alerting the Director of
Engagement and Government Relations when necessary), and customer / community member feedback.
- Event support through travel either independently or with Manager/Director(s), including transporting communications materials such as promotional items, information and documents, event props, tracking inventory, etc.
- Responsible for special assignments and other related duties as assigned.
REPORTING RELATIONSHIP:
Reports To: Director of Engagement and Government Relations
Supervises: N/A
MINIMUM QUALIFICATIONS:
Post-secondary Diploma in business administration or a related field, or equivalent.
Minimum five years of related experience in an administrative support role, preferably with a First
Nation organization or agency.
Must have a valid driver’s license.

- Knowledge of office systems, procedures, and file/records management.
- Demonstrated effective interpersonal and customer relations skills.
- Demonstrated ability to work effectively with others, as well as independently.
- Demonstrated ability to produce accurate information.
- Excellent communication (written and verbal) skills.
- Excellent organizational and problem-solving skills.
- High degree of professionalism and confidentiality.
- Strong knowledge of and appreciation for Indigenous Communities and Culture and how they relate to the workplace.
