Sommaire du poste:
Sous la direction du supérieur immédiat, remplir diverses fonctions de secrétariat, notamment le traitement de texte, le soutien de tâches administratives et la vérification de documents qui doivent faire l’objet d’une présentation interne et externe. Répondre aux demandes de renseignements générales et à celles des étudiants au sujet des politiques, des procédures et des pratiques du secteur. Remplir des formulaires administratifs, tenir des dossiers, saisir et vérifier des données. Participer à l’organisation d’activités spéciales. S’occuper des préparatifs de voyage. Tenir des stocks de fournitures et s’occuper de la caisse. Ouvrir et trier le courrier.

Principales responsabilités:

- Maintenir l'agenda du superviseur. Fixer des rendez-vous, rappeler au superviseur ses rendez-vous et organiser son emploi du temps selon les priorités.
- Obtenir, compiler et fournir des informations factuelles en consultant la documentation pertinente et en contactant les personnes-ressources internes et externes appropriées. Accueillir les visiteurs, et répondre aux demandes générales et des étudiants concernant les politiques, procédures et pratiques de la zone. Répondre aux questions ou orienter vers la personne-ressource appropriée.
- Recevoir, filtrer, diriger et passer des appels téléphoniques; prendre et transmettre des messages. Organiser des réunions et contacter les participants concernant l'heure, le lieu et l'objectif général de la réunion. Assister aux réunions, prendre et distribuer les procès-verbaux. Sur demande, planifier et organiser des rendez-vous et faire des arrangements de voyage.
- Effectuer des tâches administratives courantes telles que l'inventaire et la commande de fournitures de bureau, le retour de marchandises, et la distribution des clés. Contacter les personnes-ressources concernant la gestion des installations et faire le suivi des travaux planifiés. Réserver des salles pour les cours, séminaires et autres événements, et réserver l'équipement et d'autres services; faire des changements lorsque demandé et/ou nécessaire.
- Traiter les bons de commande, les réquisitions de chèques, les avances de voyage, les rapports de dépenses et gérer la petite caisse. Maintenir les photocopieurs, distribuer les codes de photocopie et allouer les frais. Organiser les services d'impression, et la réparation ou l'entretien de l'équipement de bureau.
- Aider à assurer le bon fonctionnement des événements spéciaux tels que les symposiums, conférences, expositions et cliniques spéciales. Prendre des réservations et des rendez-vous, collecter les frais d'inscription et répondre aux demandes générales.

- C_onnaissance du français et de l'anglais: L'Université McGill est une université de langue anglaise où les tâches quotidiennes peuvent nécessiter une communication verbale et écrite en anglais. Le niveau d’anglais requis pour ce poste a été déterminé comme étant de niveau 4 sur une échelle de 0-4_.

Autres compétences et/ou aptitudes:

- Centré sur le client avec une capacité à établir des relations productives avec les étudiants, les professeurs et les chercheurs.
- Anglais et français, parlés et écrits.
