**DUTIES AND RESPONSIBILITIES**:
This position provides specialized technical and operational support within Professional and Part-time Learning, and ensures timely preparation, completion and administration of textbook adoptions, CRN creation and maintenance for more than 800 courses in semester and monthly intakes. The incumbent is also responsible for assisting with the CRN roll, assisting with course checks, and monitoring textbook changes by host colleges in OntarioLearn. The incumbent provides general assistance with the implementation of customer service programs within the department. It requires frequent communication with Managers, students, instructors, and operational staff. The incumbent liaises with and provides support to Managers to help ensure the efficient delivery of all PPL programs and courses, regardless of the delivery modality.

**Administrative/Clerical**:

- Assist in the creation of all Course Reference Numbers (CRNs) and input course information into Banner for more than 150 courses offered in each semester and monthly intake.
- Maintain updates or changes to CRN’s as requested by the Manager.
- Check and validate the correct textbook ISBN number (800 textbooks) is listed on the Bookstore Excel list for each semester and monthly intake.
- Order and distribute desk copies for instructors, as applicable.
- Liaise with the Bookstore on textbooks changes and advise appropriate Manager of any changes. Obtain approval from appropriate Manager before updating Bookstore Excel listing.
- Monitor textbook changes in OntarioLearn on a daily basis and share updates with team members. Update files and listings, as required.
- Maintain master course and textbook listings by portfolio, tracking course title, course code, OL Host code, day school equilivancy, associated certificate or program, textbook listing and ISBN number.
- Support the rolling of course dates for semester and monthly intake to populate the PPL Calendar Guide.
- Support the CRN roll for OntarioLearn and DC Connect semester term.
- Manipulate data to create various operational reports related to enrolments, course replications, course pick-ups, missing grades, and other statistical data as required.
- Provide administrative support and backup support to other Program Assistant functions when required.
- Provide support to customers through live chat to answer questions, solve problems, and troubleshoot.

**Additional Responsibilities**:

- Some evening and weekend duties required including evening office coverage as well as assistance with events as such Open House, Program Information Nights, convocation, orientation etc. In addition, during peak periods, evening office coverage may be required.

**QUALIFICATIONS**:

- 2-year diploma or equivalent
- Minimum 3 years experience in an academic office, particularly an online educational department.
- Familiarity with e-learning platforms and online courses.
- Knowledge of program areas offered by PPL is an asset - Business and Computers, Health and Community, and Education.
- Must be proficient in the use of Banner as well as MS Office Suite including Word and Excel.
