**Position Overview**:
Reporting to the VP of HR, you play a pivotal role in supporting the whole team and ensuring the smooth running of the Richmond office. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. You will be committed to exceptional customer service, with great work ethics and be able to build strong working relationships with the Cooledge team.

**Position Responsibilities**:
Human Resources:

- Supports the company’s culture and promotes employee sense of belonging through equity, diversity, inclusion and belonging.
- Support onboarding for new employees, including new hire packages and completing all associated new hire administration.
- Coordinate employee benefits enrollment and assist with benefits administration
- Assist with employee relations by addressing inquiries and providing support
- Support the coordination of HR programs, engagement activities, initiatives and events; such as lunch & learns, health & wellness, the fun committee and recognition-related events.
- Participate as a member of the Health & Safety Committee including providing orientations, minute taking, organizing all training needs and the maintenance of all health and safety documentation.
- Prepare HR-related reports and documents as needed
- Other duties as assigned.

Executive support to the CEO:

- Provide calendar management for the CEO. When required, prioritize inquiries and requests; make judgements and recommendations to ensure smooth day-to-day engagements.
- As needed, arrange and handle logistics for Board meetings and events.
- Support a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the company, including: making travel arrangements; completing expense reimbursement ; collecting and preparing information for meetings with staff and external parties; and maintaining contact lists.
- Anticipate CEO’s needs in advance of meetings, conferences, etc.
- As needed, administrative support the Executive Teams

Office Management:

- Act as the main contact with our property management company to resolve building issues and coordination for business park activities.
- Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.
- Provide event management support as requested.
- When required, support travel booking and accommodation for guests.
- Provide hospitality to all guests and foster a welcoming environment.
- Process and distribute daily mail.
- Other projects/duties as assigned for the overall benefit of the organization.

**Position Requirements**:

- A minimum of 3+ years in an HR or administrative role, preferably with direct support to C-level executives.
- Post-Secondary diploma/degree, preferably in Human Resources / related field or a minimum of 3 years’ experience in an HR admin setting.
- HR Competencies: Communications skills, Critical Thinking, Analysis and Evaluation Skills, Ethical Behaviour and professionalism, Organization and Cultural Effectiveness, Strategic Alignment, Emotional Intelligence, Decision Making Skills, and Systems Thinking.
- Strong proficiency with Microsoft Office. Working knowledge of Apple software would be an asset.
- Technical proficiency and problem-solving skills.
- Strong verbal and written communication skills.
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including Board members, executives, staff, and external partners.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent judgment is essential.
- Strong ability to execute work with a diversity, equity, and inclusion lens.
