We provide impressive catering services and tour group menus featuring traditional Indigenous foods served in a contemporary style that can range from a casual summer barbeque to a formal native fusion dinner and everything in between.
Our professional team of Indigenous chefs, cooks and servers are proud to serve fresh, high-quality food that is Indigenous and locally sourced where possible; with a friendly service that is reflective of our culture and hospitality.
**Overview**:
We are seeking a highly organized and detail-oriented Catering Coordinator to join our team. As a Catering Coordinator, you will play a crucial role in ensuring the smooth execution of catering events. Your exceptional customer service skills and ability to handle multiple tasks simultaneously will contribute to the success of our catering operations.
**Duties**:
- First point of contact for all catering / banquet event inquiries.
- Responsible for on-going communications with the client throughout the booking process.
- Administration for catering events from start to finish.
- Manage the front of the house for catering/banquet events.
- Input booking information into our booking platform and Google calendars.
- Live tracking of upcoming booking events and needs.
- Create event projections.
- Calculate and track gratuities for tip pooling.
- Read and execute contract deliverables for clients.
- Monitor all catering bookings to ensure all required information is gathered from the client.
- Update booking information with special dietary needs or other specific client requests.
- Ordering food and supplies as required.
- Have full knowledge of menus offered.
- Prepare documentation for operational teams.
- Prepare event proposals and work with Finance for invoicing and ensuring payment is received in a timely manner.
- Ensure work flow through the organization by ensuring all information about the event is provided to the kitchen/catering team.
- Ensure all materials, such as linen and tableware are available for the event, this includes placing orders for items when needed and making sure our materials are clean and ready for use.
- Ensure we are fully staffed with servers for the event using our call out list.
- Close event sales cycle with distribution of thank you letters.
- Gather client feedback and input clients comment card information and event wrap up information into the tracking system and communicate comments with the team.
- Assist in making sure the website, any outgoing information and our booking platform is up to date with current information and pricing.
- Reports to and produce reports for CEO/COO and clients when required.
**Job Requirements**:
- Knowledge of customer service principles.
- Knowledge of group functions and banquet/catering operations.
- Ability to communicate fluently in French or another language is an asset.
- Knowledge of Indigenous culture and cuisine is an asset.
- Ability to multitask and work under multiple deadlines.
- Superior communication and interpersonal skills, both written and verbal.
- Ability to work independently with mínimal supervision as well as in a team environment.
- Ability to develop effective working relationships with internal and external parties.
- A Diploma/Degree from a recognized College or University is an asset.
- Recognized course in Event Administration/Management an asset.
- A minimum 1-2 years proven experience in a similar or related position.
- The position requires the incumbent to have a driver's license and reliable transportation.
- Flexibility required as business is frequently conducted during the evenings/weekends.
- Work will take place in the office on-site and off-site events where there is little physical discomfort, due to temperature, dust, noise, etc.
- Some physical requirements up to lifting 30lbs.
**Job Types**: Full-time, Part-time
Expected hours: 32 - 40 per week
Schedule:
- Evening shift
- Monday to Friday
- Weekends as needed
