The Building Manager is responsible for overseeing the upkeep, maintenance, and operations of a multi-residential property. This includes ensuring the building is well-maintained, coordinating tenant services, and complying with relevant regulations. The Building Manager supervises building staff and works closely with contractors to ensure smooth daily operations.
**Key Responsibilities**:
Building Maintenance
- Conduct regular inspections of mechanical rooms, common areas, and outdoor spaces to ensure safety and cleanliness.
- Collaborate with the Building Operator and contractors for necessary repairs, minimizing tenant disruptions.
- Oversee unit turnovers by ensuring suites are cleaned, repainted, and repaired prior to new tenant occupancy.
- Maintain detailed knowledge of property layout, availability, and amenities.
- Perform weekly inspections of vacant units to verify they are in "Rent Ready" condition.
- Monitor the Maintenance Technicians' use of the Yardi Mobile Maintenance system.
- Enter work orders in Yardi for tasks requiring attention from the maintenance team.
- Coordinate elevator reservations for tenant move-ins and move-outs.
- Ensure preventative maintenance is scheduled and carried out by internal staff and external contractors.
- Provide access and assistance to the maintenance team and contractors as necessary.
- Actively monitor maintenance deficiencies in both suites and common areas, generating work orders when required.
- Ensure compliance with fire safety protocols and other emergency procedures.
Tenant Services
- Conduct annual inspections of tenant units to ensure they adhere to lease agreements, including move-in and move-out inspections.
- Address tenant issues such as noise complaints or policy violations, enforcing building policies where needed.
- Maintain excellent tenant relations through regular interactions, addressing concerns promptly to encourage long-term residency.
- Respond to tenant inquiries, maintenance requests, and complaints within 48 hours.
- Serve as the main point of contact for tenant concerns, coordinating with the Property Manager for swift resolutions.
- Maintain high levels of tenant satisfaction through timely service.
Security & Emergency Management
- Oversee security systems, including cameras, access control, and alarms. Ensure secure building access and monitor visitor entry.
- Develop and implement emergency response plans, including fire drills and evacuation procedures.
- Coordinate with emergency services in case of critical incidents like fire or gas leaks.
- Document and report all security incidents, emergencies, and disputes to the Property Manager.
Vendor Management
- Supervise external contractors and vendors to ensure their work aligns with building standards, conducting quality checks upon completion.
- Assist the Property Manager in soliciting bids for large-scale projects and maintenance contracts.
- Review vendor service agreements to ensure cost-effectiveness and value.
Accounts Receivable
- Manage rent collection for residential and retail units, aiming for mínimal arrears.
- Promote and assist tenants with setting up Pre-Authorized Debit (PAD) for rent payments.
- Monitor weekly aged receivables for delinquent accounts and follow up on late payments.
- Serve legal notices and documentation related to rent non-payment, adhering to Residential Tenancies Act guidelines.
- Assist in filing legal claims for non-payment through the Residential Tenancies Dispute Resolution Service or other legal avenues.
- Ensure outstanding debts are sent to collections for recovery.
