**HOURS OF WORK: Approximately 50 hours bi-weekly rotating with the other Reception Team Leads. Each**

**role will need to have the availability to work daytime, evening and weekend shifts**
**based on the rotation and on operational needs.**

**SUMMARY**:Reporting to the Administrative Systems Specialist, the Reception Team Lead provides leadership
to the reception team in the absence of the Administrative Systems Specialist. Duties and responsibilities
include providing leadership and guidance to the reception staff on shift, works with supervisor to cover sick
calls, and ensures adequate supervision while the Administrative Systems Specialist is away on vacation. Other
duties include clerical services, reception duties, and is responsible for the day-to-day provision of customer
service, including program registration, membership sales, and providing information to the public.**
**JOB DUTIES & ACCOUNTABILITIES**:

- Provides leadership and guidance to reception staff, in absence of the Administrative Systems
- Specialist; provides excellent customer service, using diplomacy and tact to defuse situations.- Problem solves for recreation software, independently and escalates when appropriate.
- Supports, trains, provides orientation to reception staff, and ensure that processes and procedures
- required for duties are in place.- Assists other staff including program team to ensure workflow and effective communication.
- Maintains inventory of pro shop items and prepares items to be sold at reception.
- Updates phone lines, and social media posts for reception.
- Provides ‘first contact’ customer service by receiving incoming calls and visitors, providing information,

screening calls, or directing to the appropriate staff or location; provides relief and backup to front
desk reception staff and other office functions.
- Provides routine information to facility users and outside agencies regarding programs and services.
- Takes registrations, receives and records payments for programs and services, and final proofing of
- registration forms.- Prepares and reconciles daily cash summaries and prepares cash receipts for deposit in commercial
- banks, deposit summaries and cash reconciliation sheets, for own cash out and reception team.- Monitoring and reporting on status of outstanding accounts receivable accounts and
- Performs other related duties as required

**QUALIFICATIONS**
- Administrative or business certificate, or equivalent combination of training and experience in a

reception setting.
- Demonstrated leadership experience, with the ability to provide exceptional customer service; conflict

resolution skills, ability to defuse and create solutions.
- Experience balancing and reconciling cash outs.
- Excellent keyboarding, data entry skills, mathematical aptitude as well as established attention to

detail and accuracy.
- Ability to work independently, under pressure, set priorities and meet deadlines.
- Ability to be flexible, decisive and deal with constantly changing work patterns and priorities.
- Ability to establish and maintain effective working relationships.
