**Job Summary**
- The Department of Earth and Environmental Sciences provides excellent undergraduate programs, as well as advanced instruction at the graduate level. Reporting directly to the Departmental Chair, and to the Assistant Dean (Finance & Administration) for the Faculty of Science, the Department Administrator provides direction and advice to the Chair and is responsible for carrying out the day-to-day administration across all teaching and research activities of the Department, including personnel management, financial administration, physical resource management, undergraduate and graduate program administration, and department promotion.

**Key Responsibilities**
- Responsible to the Chair for establishing budgets and controlling expenditures for a variety of accounts (operating, restricted, overhead, research grants and contracts, endowment, etc.). Analyzes budget variances, reconciles expenditures with monthly ledgers, and advises on implications and remedial action.
- Facilitates smooth functioning of the undergraduate program in matters such as ensuring that calendar entries are up-to-date, manages timetable scheduling, BANNER settings are appropriate, class evaluations are done, and other duties as required.
- Ensures smooth operation of graduate program and administers related budget. Administers payroll, space, and related matters for post-doctoral fellows, research associates, and visiting scientists.
- Maintains a record of current space allocations and anticipates needs. Prepares and submits alterations and renovations proposals. Requests proposals from faculty and staff, obtains estimates, maintains files.
- Actively participates in the design and development of material to advertise the undergraduate and graduate programs.
- Manages administrative functions, supervises 2.5 FTE clerical employees, includes hiring, training, assigning duties, and performance management. Provides direction as required for departmental technicians, in consultation with faculty supervisors.

**Note**
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

**Required Qualifications**
- Undergraduate degree with five years’ administrative experience (or an equivalent combination of training and experience).
- Strong financial and personnel management skills.
- High level of computer proficiency.
- Exceptional interpersonal organizational and supervisory skills.
- Strong ability to problem solve and anticipate issues.

**Assets**
- Experience in a university or similar institution.
- Previous experience in Science department administration.
- Knowledge of Faculty of Science budget allocation, hiring procedures and management structure.
