Handle general professional administration of a highly confidential and sensitive nature across multiple citiesCalendar management and regularly coordinate meetings and conference (audio & video) callsComplete and process expense reports, professional registrations and any other delegated processes.Create all new vendor set upsDocument production including creation of presentations, proposals, and other documents.Responsible for creating, reviewing and obtaining approval on monthly accruals and cash forecastingLead the Purchase Order process from creation, through approval and distribution to vendors ensuring it isaccurate and done in a timely manner-
Lead the monthly invoicing process ensuring invoices are received, distributed, reviewed, coded, enteredand processed with a high degree of accuracy and urgency Responsible for weekly and bi-weekly meeting minutes-
Organize travel itineraries and arrangements as neededSupport the team’s budgeting of supplies and expenses on a quarterly basis.-
Setting up, maintaining, and ensuring accuracy of the Job Cost and Construction Manager platformsBasic understanding of contract administration and disbursementsSaving, filing and maintaining project files on the common driveRequired Skills and ExperienceExperience with PO’s, capital expenditure, invoice processing, accruals and Yardi- Excellent interpersonal, oral, and written skills to with the ability to liaise with all levels within theorganization; to work effectively with specialists across multiple sectorsAbility to cover teams of multiple professionals and manage multiple priorities with competing timelinesExceptional time management and organizational skills Fluency in English is a requirement, fluency in French would be an assetAdvanced knowledge of MS OfficeAbility to work well in a small team environment-
