The Receptionist is responsible for attending to visitors and dealing with inquiries on the phone and face to face. Also supplies information regarding the organization to the general public, clients and customers. Complete administrative and mailing duties and assisting other departments as needed while maintaining a positive demeanor as being the first point of contact for visitors to the company.

PRINCIPAL RESPONSIBILITIES

Reception (30%)
- Customer service & related duties
- Switchboard operation
- Collecting and distributing incoming couriers
- Operate switchboard; timely answering, directing, transferring calls to appropriate departments
- Greet visitors; maintain guest book, sign-in on arrival and sign-out on departure; informing appropriate parties to meet visitors
- Maintain lobby cleanliness and security
- Regularly update, distribute company telephone directory
- Consumable supplies management for employees

Mail Duties (30%)
- Receive, log, inform and/or distribute incoming mails, small parcels to recipients
- Collect, prepare delivery slips; make arrangements, release outgoing mail, small parcels for pick-up
- Collect and distribute incoming couriers

Invoice processing (30%)
- Invoice process for VPs, HR, CFO, and CEO.
- Invoice process for Property Management department

Travel Booking (5%)
- Flight booking for VP, CFO and CEO.

Support (5%)
- Support in ad hoc tasks for Property Management

KNOWLEDGE, SKILLS, AND ABILITIES
- High school diploma required
- 1-2 years experience in a customer service-related role
- Knowledge of administrative and clerical procedures
- Knowledge of customer service principles and practices
- Keyboard skills
