Working as an integral member of the Corporate Services team, the Administrative Assistant will provide efficient and confidential administrative support to the Chief Financial Officer, Chief Operating Officer and Corporate Services Team while ensuring the day-to-day operations are managed, coordinated, and performed.

As an Administrative Assistant, you will require considerable initiative and judgement in your ability to perform with mínimal supervision, perform routine matters, answer inquiries, prioritize duties and work in a fast paced environment.

The main duties and responsibilities include but are not limited to:

- Arrange meetings, prepare minutes and provide support for various committees, such as Emergency Preparedness, Digital Health, and Capital Projects.
- Schedule and confirm appointments/meetings and special events; prepare and organize a variety of documents and correspondence in an accurate and professional format.
- Assist with the daily functions of the department as required.
- Update and maintain procedures and forms.
- Facilitate the records retention for corporate archives by processing, cataloguing, and storing (paper and electronic).
- Reception for Administration Office by greeting visitors, directing inquiries, distributing incoming/outgoing mail for the Administration Department including mail, faxes, and parcels.

**Qualifications**
- Completion of a diploma/certificate in Office or Business Administration field from an accredited college/university.
- Minimum of 3-years’ experience working in an administrative role, preferably in a health care environment.
- Advanced computer skills with demonstrated proficiency in the use of with Microsoft Office. (e.g. Word, Outlook, Excel, PowerPoint, Teams)
- Advanced knowledge in planning meetings; agendas, supporting documentation, and taking effective, comprehensive minutes.
- Demonstrated excellent time management, and organizational skills with the ability to prioritize to be able to successfully manage tight deadlines.
- Maintain confidentiality and professionalism at all times
- Proven commitment to ensuring excellent attendance and always demonstrating the Hospitals’ values.
- Excellent written and verbal communication, and interpersonal skills needed; as well as strong attention to detail.
- Bilingualism in English and French at an advanced or superior level is required
- Clear vulnerable sector check.
- Must be fully vaccinated for COVID-19.

Hours of Work: 8:00am - 4:00pm, Monday to Friday, 37.5 hours per week

**Job Types**: Full-time, Permanent

**Salary**: $26.85-$32.98 per hour
