The Order Desk Administrator is responsible, in conjunction with the order desk supervisor, of the day to day running of the material movement for a dynamic and extensive rental house operation. Working closely with customers, drivers, yard manager/ supervisors, Business development representatives and Account administrators to ensure an efficient operation and optimizing the available resources.

**Duties and Responsibilities**:

- Answer all incoming phone calls in a polite manner and direct calls to appropriate person or department.
- Greet customers in a friendly, professional manner.
- Process all incoming cash payments and issue receipts.
- Process all outgoing payments, mailings, and other administrative duties as assigned.
- Maintain accurate records of customer transactions in the cash register computer system.
- Perform other duties as assigned by management.
- Provide excellent customer service by promptly resolving customer inquiries or complaints.
- Contact point for shipping and receiving paperwork.
- Generating and confirming all shipping and return tickets including maintaining a log of all transactions.
- Coordinating orders with the rental yard manager/ supervisor.
- Reporting material shortages and material requirements for various projects. Equipment counts for gear shortages, if necessary.
- Taking photographs of all loads being shipped or returned and logging all movements.
- Providing first point of contact and customer service with walk-in customers.
- Assisting with “House” account invoicing.
- Assist with organizing trucking both local and occasionally national. Completing Bill of lading paperwork.
- Generating and confirming local Purchase Orders.
- Assisting with yard productivity tracking.
- Assisting day to day operations with freight scheduling to optimize inhouse vehicles.
- Contact customers for deliveries and pick-ups.
- Scheduling trucks for service, repairs and other works to the shop
- Maintaining and filing limited records of Annual Inspection

**Qualifications**:

- Exceptional English speaking and writing skills
- High School Diploma or equivalent required; College Degree preferred.
- Previous customer service and or, order desk experience preferred.
- Must be available to work Monday - Friday; 7 am - 5 pm; some Saturdays as needed.
- Must have valid ON Driver's License

- Working knowledge of and competency in Avontus
- Quantify and Solomon software systems
- preferred.
- Technical product knowledge (Scaffolding/ Shoring/ Swing Stage)
- preferred.
- Experience is preferred.
