The Durham District School Board (DDSB) is responsible for public education in the rural settings of Uxbridge, Brock and Scugog Townships and the urban settings of Ajax, Whitby, Pickering, and Oshawa. **Job Purpose**
Provides administrative support to assist in the efficient, timely and responsive operations of the Ability Management team. Facilitates and processes documentation and transactions in support of DDSB’s Ability management services and Workplace Safety and Insurance Board claims.
**Accountabilities**
- PROCESS DOCUMENTS:Review and compile medical documentation, certificates, long-term disability claims, and Workplace Safety and Insurance Board (WSIB) correspondence, forms and letters, verifying correctness, accuracy and consistency of information following established procedures and within timelines. Ensure the safeguarding of all confidential files.
- PROCESS AND MONITOR TRANSACTIONS: Process transactions through the system ensuring accuracy and within established guidelines and monitor all transactions for accuracy. Perform a wide range of activities such as inputting data and processing transactions, receiving and reviewing relevant information to establish new claims, generating applicable letters, monitoring claims for allowances and/or denials to ensure appropriate change notifications sent and maintaining all long-term disability tracking and statistics, assisting with payment of invoices and cheque requests for medical services and the Workplace Safety and Insurance Board.
- LIAISE WITH INTERNAL AND EXTERNAL STAKEHOLDERS: Interact with DDSB employees regarding disability or WSIB claims and provides general information regarding sick leave, long-term disability, medical forms, extensions of supply staff; provide relevant information and updates to DDBS Board office and external stakeholders including Case Managers, Federations, Unions, and Insurance companies. Respond to inquiries from claims adjudicators, employees, union representatives, ergonomics experts, and other staff regarding claim status, work processes, payment of sick leave, long term disability, WSIB benefits etc., based on information contained in the electronic case file, or direct the inquiry to the appropriate Department. Coordinate responses, prepare correspondence and communicate with others to ensure accurate and timely communication of information. Collaborate with team members to support the achievement of work plan activities and department goals and objectives; participate in department meetings.
- UPDATE INFORMATION: Conduct inputting and updating of information and assigned databases and records in an accurate manner to facilitate ease of data retrieval so that the reliability of all data can be relied upon.
- PROVIDE ADMINISTRATIVE SUPPORT: Perform administrative activities including data entry into defined templates, conduct filing, photocopying, faxing, scanning as per standard operating procedures; perform clerical functions such as preparing correspondence and scheduling department meetings.
- PREPARE REPORTS: Prepare timely and accurate disability reports, letters to employees regarding incident submissions, to meet department requirements, policies and quality standards. **Knowledge and Skills**
- Knowledge of relevant legislation, policies and procedures relevant to the collection, recording, storage, security, distribution and disclosure of information
- Human rights legislation knowledge relating to disability management
- Knowledge of the current Collective Agreements
- Knowledge of Insurance industry relating to disability claims
- Planning and organizing skills to organize, prioritize and, where applicable, delegate work activities
- Exceptional written and oral skills to document & communicate contentious issues
- Ability to collect, record and maintain accurate, detailed, relevant and logical notes, files and information.
- Conflict Management and Resolution Skills
**Education and Experience**
Education
Completion of a college diploma in a related discipline (Business or Office Administration or Human Resources) or a combination of education, training and experience deemed to be equivalent.
**Experience**:
Office Administration 1 year required
1 year WSIB Working knowledge preferred
1 year Long-term insurance administration prefer
