**Job Title: Office Administrator / Office Manager**
**Overview**:
An Office Administrator, or Office Manager, is responsible for completing a variety of clerical and administrative tasks in an office setting. This role ensures smooth office operations by supporting employees, maintaining files, managing schedules, and performing key administrative duties.
**Key Responsibilities**:
- **Administrative Support**:
- **Scheduling & Coordinating**: Arrange appointments, meetings, and conferences, and manage the executives' calendars.
- **Visitor Management**: Greet and direct visitors to appropriate staff members or departments.
- **Filing & Record-Keeping**: Organize and maintain physical and electronic records for easy access.
- **Purchasing**:
- **Prepare Purchase Orders**:Send copies to suppliers and to departments originating requests.
- **Inventory Quantities**:Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- **Order Status**:Respond to customer and supplier inquiries about order status, changes, or cancellations.
- **Locate**:Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
- **Office Operations**:
- **Office Supplies Management**: Order and manage supplies, ensuring adequate stock.
- **Travel Arrangements**: Book flights, hotels, and other travel arrangements for executives or staff.
- **Budget & Financial Support**: Assist with budgets, processing invoices, and maintaining basic financial records.
- **Miscellaneous Tasks**:
- **Event Planning**: Assist in organizing office events, meetings, and corporate activities.
- **Handling Sensitive Information**: Manage confidential data and ensure its secure handling.
**Skills & Qualifications**:
- **Organizational Skills**: Ability to manage multiple tasks and prioritize effectively.
- **Communication Skills**: Pleasant demeanor, able to interact with diverse personalities and manage internal and external communication.
- **Attention to Detail**: Accuracy in submitting work and handling documents.
- **Adaptability**: Ability to adjust to changing priorities and office needs.
- **Technology Proficiency**: Familiar with basic office software (Microsoft Office, Google Suite) and office equipment.
- **Leadership**: Ability to make decisions quickly and take control when necessary.
**Experience & Education Requirements**:
- **Experience**: 1-2 years of experience in an administrative role preferred.
- **Education**: A high school diploma is the minimum requirement. Additional qualifications in business administration, secretarial studies, or a related field are highly valued.
