**Project coordinators **are an important part of an organization’s project team. They work under a project manager to ensure projects are completed on time and within budget. Project coordinators oversee small parts of the larger project and are primarily responsible for administrative tasks.

Although the project manager is ultimately responsible for a company’s projects, the project coordinator makes sure all aspects of the project run smoothly and efficiently. Project coordinators work with various members of the project team and the client to develop a time line, create schedules, and oversee progress to make sure goals are met on time.

**Project coordinators** utilize spreadsheets to track budgets, dates, and other information. A project coordinator job description often includes organizing contracts, financial files, reports, and invoices, and performing administrative duties such as ordering office supplies, bookkeeping, and billing. These professionals are also responsible for coordinating and attending meetings and developing project strategies.

**Duties and Responsibilities**:

- Consider new job start ups and “checklist”
- Order materials and coordinate delivery or pick up
- Assisting the project manager with scheduling of sub trades and employees
- Working under the guidance of the Project Manager to approve daily hours and invoices
- Uploading receipts via desktop buildertrend with a due date indicated
- Verifying invoices versus quotes are matched against purchase orders in BuilderTrend
- Contacting subcontractors / requesting for quotes
- Attend PM meetings-review projects in pipedrive
- Assisting PM with scheduling-Subs/employees
- Cash Flows for assigned projects/jobs in conjunction with PM
- Review project cash flow in and out for the coming 2 months. Information to be pre-determined by individual project managers?
- Cash flow to be based on milestones per project (in) and forecast any costs (out).
- Also consider shortfalls that could hinder cash flow (material ordering, permits, inspector sign off, sub contractor delays)
- Change Orders for assigned projects as per Project Manger-entering into Buildertrend, obtaining approval from clients
- Site Visits when required
- Support project managers with liaising with clients and subcontractors as PM sees fit Recap of job at the end

**Qualifications**:

- Being a project coordinator in any field requires a lot of problem-solving and multitasking. You’re coordinating multiple aspects of a project in a fast-paced and challenging work environment and communicating all the issues and risks of the project.
- As a project coordinator, your job is to make sure that everyone is on the same page and speaking the same language. Therefore, it’s essential to have excellent organizational and communication skills. Because you are responsible for making sure your part of the project stays on target, successful project coordinators are self-motivated, attentive, and always follow through.
- Most project coordinator positions require applicants to have a certain amount of education or work experience. In some circumstances, employers require bachelor’s degrees or certifications. However, industry experience can sometimes substitute for part of the educational requirements.
