Penny Appeal Canada is seeking a dynamic and organized individual to fill the role of Office Administrator. As the Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our office environment. This position offers a unique opportunity to contribute to our mission-driven organization while overseeing a variety of administrative, communication, human resources, and facility management tasks. The Office Administrator will directly report to the Director of Finance and Operations.

**Responsibilities**:

- Manage and coordinate office activities, including communication, correspondence, and digital document filing.
- Act as a liaison between staff, management, and external stakeholders, scheduling meetings and coordinating logistics.
- Supervise office maintenance and manage vendor relationships, ensuring a clean workspace and stocked supplies.
- Support human resources by assisting in onboarding, maintaining employee records, and collaborating on administrative tasks.
- Provide IT support, overseeing office technology, and serving as the primary contact for IT-related issues.
- Maintain data confidentiality and integrity, updating electronic databases and ensuring security.
- Implement health and safety protocols, conducting inspections, and ensuring compliance with regulations.
- Foster a positive work environment by addressing employee concerns and coordinating recognition programs.
- Arrange travel itineraries and accommodations, managing travel expenses and reconciling reports.
- Identify opportunities for process improvement and efficiency, implementing changes to streamline workflows.
- Stay informed about relevant laws and regulations, ensuring the company's compliance with legal requirements.
- Facilitate training sessions and workshops for staff development, tracking employee training records.
- Assist in event organization and charitable events, providing support to the events and FD team.
- Coordinate with the HR Manager on employee engagement activities and staff celebrations.
- Maintain a company vehicle maintenance schedule and assist with facility management tasks.
- Other duties as assigned.

**Qualifications**:

- Bachelor's degree in Business Administration or related field preferred.
- Proven experience in office management or similar role.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office Suite and other office management software.
- Knowledge of compliance and regulations.
- Ability to work independently and collaboratively in a fast-paced environment.
- Detail oriented and ability to multitask and prioritize tasks
- Creative mindset, ability to articulate projects in both written and visual format
- Must be eligible to work in Canada

Compensation and Start Date This full-time position is hybrid based, with health benefits, and competitive salary compensation.
