HVAC BOOKKEEPER & ADMINISTRATOR
**Job Description**:
We are looking for a 4-month contract, full time, in-person bookkeeper and administrator to handle full cycle bookkeeping duties and general office assistance, as required.
- 5+ years experience and strong knowledge in a similar accounting/bookkeeping role, experience in HVAC/construction is required.
- Proficiency with various programs (Microsoft Office, SAGE50 accounting (required), Telpay).
- Highly organized and able to handle multiple tasks simultaneously.
- The ability to work independently, have time management skills and can work well with all levels of management and personnel.
- Professional, punctual, and customer-centric oriented.
- Aptitude for problem solving.
- Strong oral and written communication skills.
- Detail-oriented and a high degree of accuracy.
**Duties**:
Accounts Payable:
- All invoices are entered using Sage50.
- Code and key accounts payable and process payments via Telpay on a timely basis. Typically, a pay cycle is completed on the 15th of every month.
- Work with Project Managers to enter all PO driven invoices and allocate by project for job costing purposes.
- Match all invoices to packing slips.
- Balance Statements from vendors.
- Ensure payments with a discount term are made within the appropriate time frames.
- Investigate all discrepancies with invoice totals.
- Maintain current A/R accounts. Investigate, adjust and resolve any outstanding balances.
- Issuing statements for overdue balance
- Process payments received by cheque, e-transfer or cash.
- Cheques are processed using a Remote Deposit Capture device for two separate companies.
- Customer invoicing as required with project allocation, monthly draws, and holdbacks.
- Prepare Statutory Declarations to receive payment.
Banking:
- Monthly bank reconciliation and analysis of accounts and variances for two separate companies.
- Deposit cheques using a Remote Deposit Capture Device, as posted to A/R.
Payroll:
- Process weekly payroll for two separate companies.
- Processing weekly timesheets for approval.
- Monitor payroll on a weekly basis for any payroll deductions.
- Employee RRSP and DPSP weekly contributions.
Financial:
- Developing monthly financial statements and process income statements, balance sheets, and other financial reports.
- Processing of T4s, T5018 and ROEs
- Processing monthly government payments of Source Deductions, EHT, GST/HST, Corporate Tax and WSIB for multiple companies.
Bookkeeping:
- Track employee purchases on account and deduct from payroll the appropriate amounts.
- File and sort documents (paper and electronically, creating folders when necessary)
- Internal billing and transfers between companies.
- Working with other bookkeeper from Service company on internal work.
- Various accounting and journal entries.
Office Organization:
- Keeping employee personal folders accurate and up-to-date.
- Entering new customer/vendor information into Sage50
- Keeping existing customer/vendor information accurate and up-to-date.
- Responsible for filing all documents, invoices, employee information, etc., daily.
Required Experience:
Accounting and Bookkeeping - 5 year minimum
Office Administration - 5 year minimum
Strong computer proficiency
HVAC /Construction background - 2 year minimum
Education Requirement:
Bachelor’s Degree in Accounting or Business Administration Diploma Preferred
Language Requirement:
English (required)
Ability to speak Italian is an asset

4-Month Contract Position with the possibility of extension and a full-time contract.

Pay: $25.00-$35.00 per hour
