We are looking for an enthusiastic, pro-active, detail oriented and values driven administrator to join our Camp and HFA team

Nature and Scope

From (September - January) the Camp & Program Administrator will provide support for a range of day to day operational and program administration needs for Health Fitness & Aquatics (HFA) and/or other association departments as required including waitlist management, two --way communication and correspondence, data collection and supporting year end audit requirements.

Work Schedule
- Full-time hours 35hrs a week.
- Various shifts which may include evenings and weekends and can be a hybrid working model of in-person and working remotely.

**Locations**: YMCA of Oakville, 410 Rebecca Street, Oakville

Responsibilities include;
Camp Administration
- Provide support to families, answer questions/ concerns regarding camp registrations under regional subsidy.
- Process registrations, swaps and cancellations for regional subsidized, YMCA financial assisted camp families.
- Ensures all camper information is updated and complete for each registration (including cabin extras).
- Ensures accurate camper attendance is completed and handed in on a weekly basis
- Liaison with the Halton Region regarding client per diem, weekly reporting, data collection and attendance of campers.
- Working with high confidential information related to family dynamics and financial need.
- Training and implementation of Active net for camp module.

HFA administration (September
- January)
- Waitlist management for programs including but not limited to camp, swim lessons, HFA and other programs as required.
- Supporting all teams with day-to-day operations and administrative services.
- Answers phones, manages two -way communications, texting, customer service and reception, pulls statistics and generate reports, supports appointment booking and follow ups, processes administrative tasks (such as cancellations, NSF payments, print rosters and daily statistics etc.).
- Other administration duties as required.

**Requirements**:

- Post-secondary education in a related field (or in process).
- Minimum 1 yrs. administrative experience
- Proficient with Microsoft Word, Excel and PowerPoint.
- Strong customer service skills and team working skills.
- Excellent organizational and time management skills
- Excellent interpersonal and relationship building skills; ability to establish rapport and excellent communication with members, employers, staff and volunteers.
- Proven ability and experience with dealing with sensitive and confidential information.
- Must have a current and valid police record check with vulnerable sector screening.

Desirable
- First Aid and CPR
- Prior customer service experience
- Experience with YMCA UNISON or Active Net systems
