Events and Ticket Coordinator

The Department of Athletics and Recreation (a division of Student Affairs) provides students, staff, faculty, alumni and the greater community the opportunity to pursue athletic excellence and recreational activities. The mission of the department is to cultivate human potential and well-being through recreation and sport. The operating units of the department include Athletics, Recreation and Sport Medicine.
**Representative Duties and Responsibilities**
- Create an annual plan for all varsity games/events, and departmental special events, and chair the departmental Events Committee to ensure alignment and resources across all areas.
- Plan and execute logistics for athletic and departmental events and activities (e.g. venue set-up, Athlete and official areas, hospitality, etc
- Manage ticketing system and ticket sales for events, including season ticket package and single event tickets.
- Act as main point of contact for ticket holders in support of customer needs.
- Oversee box office operations and the game day experience, which includes hiring, training, and managing the ticketing and box office staff
- Perform regular analysis of ticketing software to ensure that it best meets the needs of the department. Oversee postgame cash management and reconciliation.
- Lead regular analysis of ticket purchase data to better understand audience demographics and use data to inform ticketing strategy.
- Analysis of ticket redemption and attendance at varsity and department event.
- Survey for season ticket holders and single game ticket holders, analysis of survey for enhancing game day experience and support to drive increase attendance.
- Analysis of staffing levels and requirements for events
- Coordinate and execute themes for varsity games/events in partnership with Marketing and communications.
- Schedule and coordinate the entertainment for varsity events, including oversight of external groups and volunteers
- Execute sponsorship promotions to ensure contractual obligations are met
- Develop procedures, policies and best practices related to customer service and event execution.
- Attend events to monitor arrangements and ensure the smooth functioning of all activities.
- Receive and respond to issues that arise during events.
- Hire, train and manage part time staff for event operations including, but not limited to, stats, webcast, videoboard operations, camera operations, public address announcer, in-game host, ushers, ticket takers, set up staff etc.
- Determine the number of volunteers required to staff an event and coordinate how they will be used to operate events.
- Write a variety of documents, including, but not limited to, game scripts/ agendas, training manuals, correspondence, reports, memos, posters, flyers etc.
- Write and deliver training for event staff.
- Provide information on departmental policies, facilities, products and equipment. Make recommendations based on customer feedback
- Maintain inventory of athletics and event equipment, including, but not limited to, videoboard, cameras, scoreboard, electronics etc.
- Monitor quality of equipment and determine repairs, as needed.
- Ensure equipment and storage areas are clean, orderly and secured.
- Demonstrate the set up of equipment to others.
- Perform set up and take down of equipment.
- Demonstrate understanding of various sports
