ADJOINT(E) EXÉCUTIF(VE) AU CHEF DES FINANCES (CFO) Secteur du transport L'adjoint(e) exécutif(ve) est responsable de coordonner les opérations générales du bureau, la gestion des rendez-vous et des réunions, ainsi que le soutien au processus d'intégration des nouveaux employés. Les tâches incluent également la mise à jour des organigrammes, l'achat de fournitures, la recherche et la préparation des documents pour les réunions et les biographies, ainsi que diverses demandes ponctuelles. La personne soutient directement le chef des finances (CFO). Le rôle comprend aussi la coordination d'événements tels que les assemblées générales et les formations. Responsabilités principales – Tâches d'adjoint(e) exécutif(ve) Gestion du calendrier et des courriels Gérer le calendrier complexe et en constante évolution du CFO ainsi que ses déplacements Coordonner les voyages et les rapports de dépenses Faire des recherches et préparer le matériel d'information, ordres du jour et présentations pour les réunions exécutives S'assurer que les réunions trimestrielles et mensuelles sont planifiées à l'avance Mettre en place un système d'alertes pour les échéances des demandes, projets et événements Maintenir un système de classement organisé pour les documents Coordination du bureau Préparer trimestriellement les organigrammes et analyses pour chaque fonction des départements Planifier et coordonner les formations, assemblées générales, événements des Fêtes et activités estivales Vérifier et approuver les dépenses de voyage des subalternes directs du CFO Traiter les factures et s'assurer que les paiements aux fournisseurs sont faits dans les délais Gérer les ressources du bureau : imprimantes, équipement TI, fournitures Mettre à jour les listes de distribution courriel et les accès pour réserver les salles de conférence Mettre à jour les plans de places assises et coordonner les déménagements internes Rédiger des communications pour informer les employés (offres d'emploi, événements, etc.) Servir de point de contact pour les questions et demandes des équipes Soutenir les projets ponctuels Conditions de travail Poste en environnement de bureau, du lundi au vendredi. La personne doit déplacer ou organiser des fournitures de bureau environ 10 % du temps. Le rôle demande de respecter des délais serrés, gérer la pression et être à l'aise avec le stress. Additional tasks include updating organizational charts, purchasing office supplies, research and coordination for meeting briefs and bios, and various ad hoc requests. The incumbent supports the CFO. The role coordinates special events such as townhalls and training seminars. Main Responsibilities - Executive Assistant Tasks Calendar and Email Administration Manage CFO's complex and frequently changing calendar and travel arrangements Coordinate upcoming trips and expense submissions Conduct research to prepare and gather briefing materials, agendas and decks for all executive level meetings Ensure that quarterly and monthly team meetings are scheduled well in advance Develop and maintain alert systems for upcoming deadlines on incoming requests, projects and events Maintain an organized filing system for various documents Office Coordination Prepare organizational charts and analysis for each function within departments on a quarterly basis Plan and coordinate training seminars, townhalls, holiday and summer events for the various teams Verify and approve travel expenses of CFO's direct reports Process invoices and ensure payments to suppliers are completed within deadlines Manage office resources including copiers, IT equipment, stationary supplies Maintain and update email distribution lists, as well as permission lists for booking conference rooms Update and coordinate seating plans and move requests with Facilities Coordinator Produce communications to inform employees on important items, such as job openings and events Main contact for questions and order requests from the supporting teams Ensure support for ad-hoc projects Working Conditions The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. The incumbent is required to move and organize office supplies approximately 10% of the time. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure and manage stress.
