Compensation: CA$27.13 to CA$31.25 per hour, according to experience. Regular Work Hours: 9 am to 5 pm, not including 1 hour unpaid lunch break, Monday to Friday (35 work hours per week). Work Location: Hybrid – 1 day remote-based and 4 days onsite at the client’s downtown Toronto office near TTC station. Onsite work expectations subject to client business requirements, may change accordingly. Onsite Dress Code: Business Casual. Position Reports To: Chief Administrative Officer. Responsibilities Provide professional administrative support services to CAO and business operations and IT team, including meeting planning and scheduling, drafting, formatting and distributing communications and training materials, coordinating new technician onboarding and orientation, liaising with IT suppliers to coordinate deliveries and set ups, and monitoring IT tickets for approval and completion. Act as project coordinator for departmental projects, working with IT Consultant to track deliverables, monitor due dates and handle project communications. Organize internal and external online and onsite meetings, including meeting scheduling, managing meeting attendance lists and RSVPs, booking onsite meeting rooms and arranging for AV and catering, compiling and distributing meeting agendas and briefing materials, and attending meetings and taking minutes as required. Draft meeting minutes for approval and distribution, and track and follow up on Action Items. Assist with development, production and distribution of communications and training materials. Monitor and forward IT tickets for approval and completion. Coordinate delivery, distribution and set up of technical hardware and equipment. Coordinate onboarding and orientation of new technicians. Liaise and coordinate with IT vendors as required. Additional project and administrative support responsibilities as required. Qualifications Education: Post Secondary Degree or Diploma in Business Administration, Office Administration, Project Administration, Systems Administration, or equivalent combination of work experience and education. Preferred Work Experience: At least 2+ years of progressive administrative support experience to a professional services, technical, or project team. Preferred Sector Experience: Consulting, professional services, or IT services sector experience an asset. Technical and Language Skills Requirements: Advanced MSOffice, including Word, Outlook, Excel, PowerPoint and Teams (will be tested); strong typing and alphanumeric data entry skills (will be tested); superior attention to detail (will be tested); general strong technical aptitude and comfort within a technical environment, ability to learn internal applications quickly and effectively; strong English communication skills, both written and verbal, including strong level business writing skills, excellent spelling, grammar, proofreading and syntax, and professional telephone manners. Task-Based Qualifications and Additional Attributes: Punctual, responsible, and reliable; focused and able to work effectively with minimal direction and supervision; pleasant and courteous; proven ability to professionally handle confidential information and exercise good judgement; superior attention to detail, advanced organizational, coordinative and time management skills, application of project management principles, ability to work independently and collaboratively, and liaison with a wide range of stakeholders. Additional Requirements Must be legally entitled to work in Canada, providing satisfactory documentation upon request. Ability to work both remotely and onsite, abiding by organization health and safety policies. Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities. Provision of certification of AODA and OHSA online training course completion prior to assignment start. Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
