Key Responsibilities: Calendar and Meeting Management: Manage and maintain executive schedules, including organizing meetings, appointments, and travel arrangements. Prepare agendas, minutes, and follow-up actions for meetings. Administrative Support: Draft, review, and edit correspondence, reports, and presentations on behalf of the executive team. Handle incoming and outgoing communications, ensuring they are prioritized and addressed appropriately. Event Coordination: Plan and coordinate events, conferences, and business meetings, including booking venues and managing logistics. Confidentiality and Records Management: Maintain and safeguard sensitive and confidential information. Organize and maintain electronic and physical filing systems. Liaison Role: Act as the point of contact between the executive team and internal/external stakeholders. Build and maintain professional relationships with clients, vendors, and partners. Project Assistance: Support special projects by conducting research, preparing reports, and ensuring deadlines are met. Monitor and report on project progress. Qualifications and Skills: Education and Experience: Bachelor’s degree required (any field of study is acceptable). Demonstrable experience as an Office Administrator or similar role is required. Minimum of 2 years of experience in a role providing executive-level support. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management and collaboration tools is an asset. Key Competencies: Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Attention to detail and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment. Discretion and professionalism in handling sensitive information. Employment Details: Position Type: Full-time, Permanent Location: [Whitehorse, Yukon, Canada] Work Hours: 40 hours; Monday to Friday; 8:30 am to 5:00 pm.
