Job Summary: The Membership Coordinator is responsible for managing and enhancing the membership experience, ensuring excellent member relations, and supporting the growth and retention of CIFFA's membership base. This role involves a combination of administrative and customer service tasks to foster a vibrant and engaged community of logistics and supply chain professionals.


Key Responsibilities:


Member Relations:

  • Serve as the primary point of contact for all membership inquiries and issues.
  • Respond promptly and professionally to member questions, concerns, and requests.
  • Develop and maintain strong relationships with members to enhance their overall experience.


Membership Management:

  • Process new member applications, renewals, and cancellations efficiently, ensuring all documentation and compliance requirements are met.
  • Lead the administration of the annual membership renewal campaign and other key deliverables associated with the project.
  • Provide feedback to drive improvements relating to our CRM system used to contain company and individual membership data.
  • Maintain accurate and up-to-date membership records and databases.
  • Generate and distribute membership reports and statistics to support organizational goals.


Member Engagement:

  • Develop and implement strategies to increase member engagement and satisfaction, tailored to the needs of the logistics industry.
  • Coordinate member events, webinars, and networking opportunities, focusing on industry-specific topics.


Marketing and Outreach:

  • Assist in the development and execution of membership marketing campaigns aimed at the logistics community.
  • Maintain and ensure available supply of marketing materials used in distribution of new member onboarding packages.


Administrative Support:

  • Manage membership-related administrative tasks, including invoicing and payments.
  • Prepare membership materials and resources.
  • Process the sale of membership related product requests including shipping of product orders, invoicing and keeping track of product inventory.
  • Maintain the Air Canada promo-code program and arrange travel for CIFFA Board of Directors as requested.
  • Provide support to other team members as needed.


Feedback and Improvement:

  • Collect and analyze member feedback to identify areas for improvement.
  • Recommend and implement changes to enhance the membership experience.


Qualifications:

  • Bachelor's degree in business administration, marketing, communications, or a related field.
  • Proven experience in membership coordination, customer service, or a similar role within an industry association or trade organization.
  • Excellent interpersonal and communication skills.
  • Strong organizational and time management abilities.
  • Quick learning, resourceful, self starter.
  • Proficiency in Microsoft Office Suite and membership management software.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy.
  • Familiarity with global supply chain and logistics industries and related regulations is a plus.
  • Knowledge of social media platforms and online marketing tools.
  • Ability to speak French is a plus.


Working Conditions:

  • Full-time position, with occasional evening or weekend work required for events.
  • Office environment in Toronto, with the possibility of remote work.
