Job Details Position Title: Recruitment and Admissions Associate Status: Full-Time Hours per week: 37.5 Faculty/Department: UofGH Registrar Campus/Location: UofGH Campus Salary: Payband G (Min) $34.60 – (Max) $39.93 per hour What You Will Do Process all application related documents (transcripts, student profile forms, deferral applications, English proficiency results, high school and transfer offers, etc.) with accuracy, efficiency and discretion. Initiate and coordinate correspondence from Admission Services to applicants (acknowledgment emails, requests for information, offers of admission, program transfer and readmission decisions, etc.). Input financial information in Banner, Chrome River, and other programs for the Admission Services and Student Recruitment departments (vendor invoices, requisitions, standing orders, vendor payment tracking). Document Coordination and Communication Ensure accurate processing of all applications, including high‑school, university and college transfers, program transfers, readmissions, visiting students, and letters of permission. Coordinate processing of all application‑related documents, scan into the digital document management system (etc.). Load application data onto the student record in Colleague and update the student’s WebAdvisor account. Issue communication to students via Colleague and execute decision files. Coordinate with the Application Processing Coordinator to ensure communications are sent daily and OUAC transcripts are attached to files. Use judgement to forward files for admission decisions. Answer admission‑related questions promptly and seek support during peak periods. Maintain confidentiality and accuracy while managing data. Act as a front‑line resource for troubleshooting applicant issues. Validate new student residence lists for Humber Residence office. Student Recruitment Support Provide information about the university, programs, admission policies, financial and campus services through email, chat, phone and in‑person inquiries. Assist with special projects, prospect data entry, high‑school liaison visits, campus tours and work‑study student direction. Greet guests to the Centre for Future Students and Admission Service offices and direct them appropriately. Support recruitment events and special programming. Occasional evening and weekend work may be required. Perform other duties as assigned. Financial Processing Process vendor invoices, create requisitions, standing orders and track vendor payment in Banner. Organise invoices for record keeping. Troubleshoot financial issues with vendors, financial services and staff. Qualifications Education – 4‑year post‑secondary degree in Communications, Marketing, Public Relations, Advising/Counselling, or Customer Service. Experience and Skills – Two years of practical work experience in a front‑line busy customer service, registration or recruitment environment. Understanding of university systems and admissions processes. Excellent written and verbal communication, interpersonal, listening and customer relations skills. Proficiency in Windows, MS Office applications/word processing software. Telephone and communication skills to interact with a diverse cross‑section of people. Demonstrated organisational skills, ability to handle multiple tasks and interruptions, self‑motivated, independent and capable of prioritising work with minimal supervision. What’s in it for you?
