Miles HR has an opportunity for detail-oriented and highly organized Project Administrator to join a busy Architectural firm in Vancouver, BC. The ideal candidate will have experience in project management within the architectural/construction industry and possess strong skills in utilizing various software tools. This is one year contract with the potential of becoming a permanent opportunity.Responsibilities:Coordinate project activities and ensure all project phases are completed efficientlyAssist in creating project schedules, budgets, and timelinesCollaborate with project managers, architects, and subcontractors to ensure smooth project executionUtilize construction management software to track project progress and update stakeholdersCompanywide invoicing ensuring all stakeholders are included at all times, tracking of extras and hourly billing, monthly reporting on job profitabilityWeekly/monthly review of staff hoursReview project budgets in depth as requiredMonthly reporting on staff utilizationTime and budget tracking software managementTracking of all prospect jobsDraft all proposals and ensuring they are submitted on timeA/R and CollectionsFacilitate signing of submission documentsOnboarding of new staff, general admin workOther duties as assignedExperience:Project Management experience requiredInvoicing, A/R experienceExperience working in Architecture or Construction industry requiredGeneral HR experience, On-boarding/Off-boardingProficiency in project management tools such as MosaicExperience drafting proposals requiredStrong time management skills to meet project deadlines effectivelyFamiliarity with construction management software applicationsExceptional attention to detail and proven ability to meet deadlinesExperience working on build projects with a focus on quality and safety standardsExcellent communication skills to liaise with internal teams and external partnersFamiliarity with tools for document management and collaborationThis position offers the opportunity to work on exciting projects in a dynamic environment.
