About the Role The Programs Administrator plays a critical role in ensuring the smooth delivery of BITS’ core programs, including YCEO, Boot Camp, and Momentum. Reporting directly to the Programs Manager, this role is responsible for program operations, participant screening, data management, and funder‑aligned reporting across multiple virtual cohorts each year. This role is ideal for someone who thrives behind the scenes, loves building systems that others can rely on, and takes pride in creating a seamless experience for participants, facilitators, and stakeholders. While recruitment and outreach are not a primary focus of this role, the Programs Administrator supports storytelling and marketing efforts by surfacing insights, quotes, and success stories from programs. Although most programming is delivered virtually, this role also supports in‑person events and workshops, making flexibility and physical readiness an important part of the job. Key Responsibilities Build, maintain, and continuously improve the administrative systems that keep BITS programs running smoothly. Coordinate and conduct participant screening across multiple programs (approximately 200 hours per year), ensuring alignment with program criteria and readiness. Own the setup and administration of intake forms, attendance tracking, surveys, and evaluation tools. Manage and maintain program data to support internal learning, reporting, and evolving funder requirements. Serve as the primary owner of BITS’ program administration and project management tools (e.g., Airtable), ensuring they are accurate, comprehensive, and forward‑thinking. Coordinate onboarding and offboarding for participants, mentors, facilitators, and contractors. Support facilitators with session logistics, materials, and virtual room setup (Zoom, breakout rooms, recordings, etc.). Track attendance, follow up with late or absent participants, and help resolve participation challenges. Identify and elevate participant, facilitator, or program‑related issues to the Programs Manager or Executive Director in a timely, solutions‑oriented way. Support in‑person events and workshops (e.g., Shoot Day, Holiday Social, and others as needed), including setup, teardown, and physical logistics. Occasionally support tabling at community events (approximately once per month). Collaborate with the Marketing team by sharing participant insights, quotes, and success stories that support outreach and storytelling. Pitch in on other projects as needed. You Are a Great Fit If You: Are a natural organizer who loves building systems that make complex work feel manageable. Are proactive, detail‑oriented, and comfortable owning processes end to end. Can juggle multiple programs and timelines without losing sight of the human experience behind the data. Are confident working independently but know when to loop others in. Are comfortable with virtual tools like Zoom and Google Suite, and excited to deeply own tools like Airtable. Have strong interpersonal skills and know how to communicate clearly, kindly, and professionally. Can be trusted with sensitive information and maintain confidentiality. Care deeply about youth entrepreneurship and creating programs that are thoughtful, accessible, and impactful. Bring a solutions‑focused, optimistic mindset—even when things get busy. Preferred Qualifications 2+ years of experience in operations, administration, or program coordination. Experience working in nonprofits or youth‑focused spaces. Familiarity with measurement and evaluation frameworks. Experience working with young people from underserved or underrepresented communities. Comfort improving and documenting processes so others can use them with ease. Compensation & Schedule Hours: 35 hours per week During active programming, regular Saturday availability (primarily half‑days) is required. Location: Remote‑first, Toronto‑basedIn‑person requirements: Periodic in‑person event support in the GTA, which may include lifting and carrying materials (e.g., chairs, supplies, and other objects up to 40 lbs.). About 1–2 times per year, you may be required to support our networking events, which can run late into the evening.
