Administration Coordinator

Permanent Full TimeReporting to the Associate Manager, Central Services & Strategy, you will be responsible for various administrative functions relating to third party documents mainly out of Quebec but also including other provinces. You will work closely with other Administration Coordinators to support the effective distribution of third-party documents to various business lines to ensure efficient handling. Key Accountabilities: Monitoring a shared mailbox for emails received from both internal business partners and external entities Mail preparation responsibilities - opening, date stamping and prepping for scanning. Triage Incoming Mail into a Document Management System Searching multiple Company systems for business held by customers and policyholders, reviewing the results and distributing to appropriate line(s) of business Ensuring document management system is up to date with all documentation/emails/product details Reviewing general phone line voicemails and responding or re-directing the inquiries Contacting external entities such as Canada Revenue Agency, trustees in bankruptcy, law firms, etc.
What you will
bring: Bilingualism (fluent in French and English) required, as the position will regularly serve our clients with English and French-speaking needs. Minimum 2 years’ experience working in an administrative role Must have superior written and verbal communication skills (French and English) Ability to independently while contributing effectively within a team environment Effective communication and interpersonal skills to build positive relationships and work collaboratively across teams. Strong organizational and time management skills Exceptional attention to detail with strong comprehension skills to ensure accuracy and clarity in all work Ability to think critically and take initiative to resolve problems promptly Strong technical skills (MS Word, Excel, Outlook, Foxit, document management software) Experience working with highly sensitive and confidential information as part of daily duties Knowledge and/or experience across multiple lines of business considered an asset Knowledge of any one or more of the following Company systems is an asset (Mainframe (GWL), GPAS, DCT, Copilot, Siebel, GRS Solium, CISS, Univerys, Name Search Tool) The successful candidate must consistently demonstrate professionalism, diligence, discretion, and reliability. Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment.
This is a personal security status that is required as a condition of employment before an employee can gain access to Protected B information, assets or work sites as outlined by the Government of Canada website. The cost of submitting these checks will be covered by Canada Life. The base salary for this position is between $39,100.00 minimum - $52,800.00 maximum annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
