Salary Grade: N06 From: $79,956.17 To: $99,945.00 Job Summary We’re looking for an Executive Assistant who embodies a growth mindset, thrives on change, and is eager to bring fresh thinking to our team. You’ll support our Vice‑President, Talent Acquisition and HR Business Services and the Vice‑President, Human Rights and Business Ethics and their division by managing day‑to‑day operations, driving special projects, and acting as a central point of contact for both internal and external stakeholders. More than just an administrative partner, you will be a proactive problem solver, an early adopter of new technologies (including AI tools), and a role model for collaboration, humility, and curiosity. You’ll help elevate our division’s reputation for fixing issues and finding creative solutions. Major Responsibilities Act as a central point of contact on behalf of the Vice‑President in dealing with a range of issues/complaints and requests for information from internal and external clients and vendors in person, by telephone or written correspondence. This includes: Investigate issues or queries with a solutions‑first mindset—dig deep, see beyond the obvious, and recommend practical paths forward. Determining possible solutions or the best approach to resolving issues. Foster a positive, inclusive, and collaborative atmosphere within the division; model humility and openness in all interactions. Build strong working relationships with stakeholders at all levels, encouraging knowledge sharing and continuous improvement. Support onboarding and mentorship of new team members, contributing to a culture of learning and adaptability. Prepare written comprehensive summary reports and executive correspondence for the Vice President's signature to respond to external client inquiries. Present details with recommendations to the Vice President and/or advise the business areas on suggested resolution. Review policy proposals, research reports and operational data to identify issues of importance and provide relevant commentary and advice to the Vice President/Executive Director. Review, edit, consolidate and format reports, presentations and memos received from division management and staff for content and style, and prepare presentation templates and preliminary drafts as required. Co‑ordinate project work on matters requiring organization, planning, investigation, research and analysis—including identifying resources, allocating work based on priorities and established goals and objectives for the completion of the project, consolidating the research findings and preparing final submissions with appropriate recommendations for the Vice President's review. Participate as a member of senior leader’s management team providing information, advice and guidance to program heads on divisional matters; identifying, prioritizing and analyzing issues and complaints and determining when the subject should be raised with the Vice President/Executive Director or other divisional Vice Presidents. Co‑ordinate reporting requirements (i.e., Monthly/Quarterly Cost and Budget Variance and Forecast Reports) with management team and Business Assistants. Applying basic understanding of financial concepts and business acumen, consolidate and ensure comprehensive information and analysis is delivered on a timely basis. Advise of possible overspends and offer solutions to control expenses. Create, design and maintain operating reports as required ensuring comprehensive information and analysis along with timely delivery. Ensure accuracy and integrity of data, information through analysis, research and collaboration with Divisional staff. Job Requirements Education: Undergraduate Degree Experience: Minimum years – including 2 years’ experience in a similar role Advanced skills in MS Office applications such as MS Forms, Excel, PowerPoint Experience in public sector and unionised environments considered an asset.
