Job Description:
Position Overview:
A newly formed Regional Operations Team will provide operational support following the regional Epic go-live in December 2021, to the seven (7) acute hospitals in the Central East (CE) region: Campbellford Memorial Hospital, Haliburton Highland Health Services, Lakeridge Health, Northumberland Hills Hospital, Peterborough Regional Health Centre, Ross Memorial Hospital and Scarborough Health Network. These organizations have been on a clinical transformation journey to implement a shared, regional Epic CIS solution as well as a number of regional third-party applications since July 2019.
The CE Regional Operations Team will have a dedicated leadership team overseeing five (5) work streams: Outpatient Ancillary, Inpatient, Access/Revenue & Reporting, 3rd Party & Integration and Technical. Each team will have a number of clinical and technical analysts, and Principal Trainers (PTs). The Regional Operations team will work on behalf of all 7 hospital organizations. Scarborough Health Network (SHN) will manage employee policies and act as paymaster on behalf of all 7 hospital organizations.
The Applications Specialist’s primary responsibility will be to develop, implement and monitor workload capture as a by-product of documentation within Epic.
Responsibilities:
• Meet with disciplines & clinics to ensure they are entering workload as required
• Meet with clinical staff to review minutes assigned to nursing, RRT and other disciplines workload fields
• Facilitate set-up of new units/services for workload capture and manage time studies when required
• Lead non service recipient workload capture methodology
• Work with Principle Trainers(PT’s) to provide education where required that is not covered in the initial Epic training
• In conjunction with all the CEHC hospitals, complete the nursing, RRT and other disciplines workload validation process for all areas
• Provide workload education for hospital managers & directors and Regional analyst (with PT’s)
• Work with Finance/Case Costing to identify areas of concern
• Review workload for procedural areas to ensure the system was built according to requirements and is valid
• Develop a process for changes to workload values and fields at the regional level
• Direct the build of reports to deliver the workload information for healthcare leaders to make important operational and strategic decisions.
• Use your creativity and problem-solving skills to overcome difficult technical obstacle
• Ensure the workload methodology selected for different services is appropriate
• Work with Cogito to ensure reports built will facilitate workload validation
• Review Ministry updates and ensure compliance with the requirements
• Maintain and update documents required to validate and audit including but not limited to workload values assigned to Epic fields, NRS methodology and values
Requirements:
• Baccalaureate Degree in Health Services - Regulated Health Professional &/or Information Technology/Computer Science
• Master's degree in Clinical Informatics strongly preferred, or evidence of working towards
• Regulated Health Professional with a minimum of 2-3 years clinical experience (preferred)
• Demonstrated effective critical thinking, prioritization, and conflict resolution skills
• Possesses extensive clinical knowledge related to Clinical Workflows and the time it takes to complete clinical activities
• Proven experience in a practical/clinical role
• Excellent critical thinking, issue resolution, and problem-solving skills and abilities
• Ability to communicate and influence different levels of management
• Highly process oriented with developed quantitative and qualitative analytical skills, problem solving ability and critical thinking skills
• Expert proficiency in MS Excel/Access
• Ability to conduct testing into software-related and issues
• Superior verbal and written communication skills including the ability to present ideas in business-friendly and user-friendly language
• The capacity to mentor and direct others and the ability to present and offer education sessions
• Highly self-motivated and directed
• Flexible and adaptable in regard to learning and understanding new technologies
• Ability to work both independently and in a team-oriented, collaborative environment
• Project management skills are an asset
• Demonstrated ability to organize and prioritize work
• Demonstrated ability to develop and maintain effective working relationships with a variety of stakeholders
• Demonstrated ability to effectively train, coach, and mentor teams and leaders
• Excellent interpersonal, communication (presentation, written and verbal), critical thinking, attention to detail and problem-solving skills
• Experience working with large, multisite organization
• Proven ability to act as a resource to various health professionals, such front-line staff, managers, physicians, and directors
• Strong analytical skills including the ability to collect, analyze, share and interpret qualitative and quantitative data
• Experience with effectively managing and integrating change in a health care setting
• Pride in doing great work, a mindset of taking things to the finish line, and attention to detail.
• Previous healthcare experience/knowledge of CIHI datasets such as DAD, NACRS, CCRS, NRS, OMHRS, HCRS).
• Knowledge CIHI/MoHLTC workload methodologies & MIS Guidelines & keep updated on MIS changes
• Understand how the Canadian healthcare system works
• Understanding of the Health care funding
• Epic certification is strongly preferred
• Deep knowledge and experience with Epic IT system and processes
• Experience with effectively managing and integrating change in a health care setting
• Able to meet strict deadlines and balance between multiple projects
• Work with regional partners
• Strong critical thinking, analytical and problem-solving skills with ability to proficiently interpret clinical documentation as it relates to Workload capture
• Demonstrates excellent effective objective interpersonal and communication skills along with investigative, teaching and facilitation skills
• Ability to work with minimal supervision and take initiative, and travel to any SHN hospital as needed
• Demonstrates a commitment to customer service
• Ability to display independent judgment, maintain respectful interpersonal relations and promote confidentiality
