Role Location and ReportingReporting to the HR Manager, we are looking for an HR Coordinator to join our Civil - Major Projects West team in Vancouver, BC. The successful candidate will support our projects and client group across Western Canada and Washington state and will be actively engaged with the broader Aecon HR team on enterprise-wide initiatives. What You’ll Do Here Payroll and HRIS (SAP) Work closely with payroll to ensure all employee life cycle transactions are submitted accurately and by payroll deadlines (e.g., new hires, terminations, benefits, compensation changes, taxable benefits, project uplifts). Investigate and respond to employee pay inquiries, acting as a liaison between employees and salary/hourly payroll departments. Collect and file paperwork related to compensation and assignment changes. Ensure proper backup and signatures on all paperwork. Generate standard daily, weekly and monthly reports (salary, new hires, terminations, headcount, benefits, training, performance reviews, etc.). Lead regular data audits to ensure data accuracy and integrity; generate new and ad hoc HRIS reports as needed; enter time into SAP for hourly students; monitor vacation tracking and coordinate year-end vacation rollover; update workforce planning changes in SAP; submit monthly corporate reports. Onboarding and Offboarding Draft offer letters, onboard new employees, collect all new hire paperwork, coordinate IT needs, software/hardware access, and ensure all needs are in place before start date. Schedule and coordinate orientations for new hires (salary and hourly, non-union). Act as liaison between HR, IS, new hire, and manager regarding onboarding information; offboard employees including payroll/IT communications; draft and circulate new hire and departure announcements. Benefits Ensure employees are enrolled in the benefits program; act as liaison to pension & benefits department; address employee questions related to benefits; process health and wellness benefits. Training Ensure Tuition & Training forms are completed, organized, and tracked; coordinate and organize training sessions (booking rooms, equipment, materials) as needed. Other Code HR-related invoices and liaise with A/P; participate in compensation surveys; maintain HR forms and confidential information; file administrative documents; participate in special projects and additional duties; foster Aecon’s core values; schedule meetings as needed; respond to employee questions or escalate to the Manager; thrive in a fast-paced, deadline-driven environment. What You Bring To The Team Post-secondary education with a major in Human Resources or related field. 3-5 years of experience in Human Resources. Experience in an operational environment such as construction, oil and gas, or engineering is an asset. Excellent organization, attention to detail, and ability to manage multiple clients, deliverables and deadlines. Experience with SAP and SuccessFactors is an asset; strong verbal and written communication skills; ability to work with various stakeholders. Strong problem-solving and analytical skills; strong customer service and relationship-building abilities. Proficiency with MS Office (Outlook, Word, Excel, PowerPoint). The expected pay range for this position is $60,000.00 - $68,000.00.
