Summary: The Site Administrator is primarily responsible for the administration of the assigned property, providing exceptional customer service to both existing and potential residents according to company standards.

Duties & Responsibilities: Timely and accurate processing of site documents, including filing, data entry/word processing, and correspondence. Complete lease renewals, rent calculations, and implement the signing of all leases following RGI guidelines. Collect arrear payments, process cheques, and manage rent collection database accuracy. Manage vacancy controls, move-outs, and legal processes related to rental control, including arrears collection. Maintain parking control, conducting audits, and processing paperwork as necessary. Foster relationships with outside agencies such as Ontario Works and the City of Toronto through continuous interaction. Provide professional and courteous assistance to prospective and current tenants promptly. Regularly inspect upcoming unit availability, ensuring move-ins and move-outs are prepared. Assist in maintaining a high level of client satisfaction and public relations through effective communication with residents. Provide administrative support to site staff and Property Manager/Manager, Residential Operations as required. Rectify tenant issues and escalate as necessary, maintaining excellent tenant relations within the assigned property. Manage purchase orders, create, receive, and ensure accuracy, assist with contractor scheduling as required. Handle all telephone and walk-in inquiries from residents professionally and courteously. Communicate regularly with the Property Manager/Manager, Residential Operations, team members, and site staff. Work with the team to recommend modifications for service improvement, assess service performance, and customer satisfaction. Maintain goodwill of customers during the service period and promote the organization to existing and potential customers.

Qualifications: University degree or equivalent experience in Business Administration preferred. 3 years of previous experience in Property Management, with preferred knowledge of Housing Services Act (HSA) and Rent Geared Income (RGI) Guidelines policies/procedures. Proficiency with computer software, specifically MS Office; knowledge of Yardi preferred. Strong communication, interpersonal, and outstanding customer service skills. Ability to work effectively as part of a team and independently in a fast-paced environment. Patient and understanding when dealing with residents, with strong organizational skills and ability to multitask effectively.
