The Executive & Legal Administrator provides timely, efficient, and confidential administrative support to the office of the Chief Executive Officer (CEO) and Chief Legal Officer (CLO), Vice President of Strategy & Chief of Staff, and Board of Directors. This dynamic role requires a self-starter with superior time management and communication skills (oral, written and electronic), the ability to anticipate, think critically and offer solutions, and a high level of professionalism, diplomacy and discretion. The position operates in a fast-paced, results-driven environment and focuses on improving and streamlining the services delivered by the Legal department. Responsibilities Act as the primary liaison and Executive Assistant for internal and external stakeholders on behalf of the CEO, CLO, Vice President of Strategy & Chief of Staff, and the Board of Directors, handling matters of a highly confidential and sensitive nature Coordinate a broad range of administrative duties: booking meetings, providing and compiling business-critical information, preparing agendas, monthly scorecards, reports and presentations, replying to inquiries, and supporting special projects Schedule correspondence, monthly expense reports, review incoming documents, etc. Review and closely track the Executive team’s budgets and accounts payable in cooperation with Finance; review invoices for compliance, ensure timely accrual, approval, and payment Support other Legal department personnel in managing Board of Directors meetings and documents Manage calendars, schedules, travel for the senior team; prepare meeting documentation, presentations, and catering as required Represent the Legal team by answering questions and coordinating required meetings with internal and external parties Coordinate project-related activities and facilitate project communications Support the Executive team in executing and tracking performance management, professional development and employee engagement activities Handle phone calls, emails and inquiries and direct queries to the proper person Assist in preparing, drafting and editing strategic planning documents, operating plans and training materials; prepare slide decks, agendas and other meeting materials Advise the Executive team on matters pertaining to department operations Anticipate roadblocks and mitigate their impact; assist in expediting resolutions and contributing to team success Maintain and manage the document management system through ongoing migration and organization of legal documents Prepare various legal documents, including correspondence, non-disclosure agreements and other administrative documents Prepare and file corporate documentation, including annual filings Assist with drafting continuous disclosure documents, including AIF and Information circular Assist with collection and drafting of precedents Maintaining multiple minute books Draft general corporate documents related to incorporation, organization, amalgamations, complex amendments, continuances, and dissolutions Assist on complex transactions Other duties as assigned Experience Experience as an Executive Assistant supporting a C-suite level Executive College Degree or equivalent experience is an asset Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, SharePoint) Outstanding oral, written and electronic communication skills; ability to collaborate with internal and external stakeholders Aptitude to prioritize tasks based on importance and urgency Comfort with legal terminology and understanding of contracts and related documents Ability to work with minimal supervision in a fast-paced, deadline-oriented environment Strong attention to detail and high level of accuracy Solid judgment and decision-making ability Ability to handle sensitive information with confidentiality Experience in a legal professional environment is valuable but not required Other Details This is a full-time, remote-first position based out of Toronto, Smiths Falls, or Ottawa.
