OverviewAdministrative Coordinator – Charlottetown, Prince Edward Island, Canada. The Administrative Coordinator supports the business by coordinating the full range of administrative processes at the terminal to ensure the timely and accurate delivery of freight to the end customer. You will be a positive representative of the organization, demonstrating professionalism and appropriate urgency, and you will work closely with internal and external contacts to respond to customer inquiries and requests.How You’ll HelpProvide administrative support to the managers and office staff; establish and maintain files and records, and ensure administrative matters are organized and dealt with professionally.Answer phone calls and email inquiries, relay messages to the appropriate managers and employees; attend meetings, take notes, and follow up on decisions within your area of responsibility.Order office supplies and maintain inventory for the terminal.Welcome clients and direct them to the appropriate managers and employees.Redirect documents intra- and inter-terminal as well as to customers as needed.Schedule appointments, update the system with appointment information, and communicate changes or issues to customers and drivers.Prepare manifests for trucks crossing between Canada and the US, and verify weights and required information for LTL loads.Input pick-up BOLs and update PODs; upload and edit EDI files; input skeleton bills and note damages or shortages with required signatures.Track and update shipment information for agent delivery; assist drivers with preliminary paperwork and border-crossing procedures.Payroll processing for brokers including data entry and invoicing; respond to payroll inquiries as needed.Reporting: POD imaging and missed appointment follow-up with customers.Mentor and train office staff in procedures and software; dispatch some night runs/shifts.Other related duties as required.Your Skills And ExperienceMinimum of secondary education, with preference given to post-secondary education (general stream) or a combination of education and experience.Previous transportation or operational experience is preferred; various roles within transportation would be beneficial.Advanced communication skills; accuracy in computer usage, including MS products, AS400, TruckMate, and web-based programs.Demonstrated customer relationship skills and strong conflict resolution abilities.Ability to work to deadlines in a high-volume, transactional environment; collaborative mindset with colleagues to champion business needs.Results-focused.How to ApplyTo apply, visit our Careers page at dayross.com.If you’re chosen for the role, you’ll be asked to provide references and undergo criminal background checks before employment.
