Purpose:

Ontario Medical Supply is currently seeking an energetic, highly organized and reliable individual to help support our Business Centre. Your main responsibilities include ensuring smooth operation of our Business Centre functions, assisting on various projects when required, and liaising with service providers and management on facilities related issues. You are an integral part of our operations with members of each department and multiple sites relying on you for various things. This is not your typical office admin position where you’re stuck at a desk most of the day. You are regularly moving about the building and do not shy away from physical work. You are pro-active and take a commonsense approach to problem solving, have a strong sense of office functions and enjoy a fast-paced work environment.

Job Responsibilities:
  1. Handling/sorting of incoming/outgoing mail
  2. Coordinating interoffice mail and other packages
  3. Ordering office supplies and ensuring sufficient stock is on hand
  4. Printing/assembling of in-house print requests, maintaining sufficient copies of frequently used documents
  5. Printing and mailout of monthly statements
  6. Maintaining filing systems and offsite file storage inventory
  7. Providing help when needed on various projects for other employees
  8. Maintains contracts tracking sheet and files corporate documents (electronic and hard copies)
  9. Assists with facilities related issues/requests and liaises with service providers
  10. Responsible for daily upkeep and replenishment of coffee machines and ordering supplies
  11. Assigning building access FOBs
  12. Other duties as required
Qualifications:
  1. Reliable and Responsible
  2. High school diploma
  3. Minimum 1 year of experience preferred with administrative procedures, office duties, building maintenance
  4. Proficient with Microsoft Office – including Excel, Word and Outlook
  5. Physical requirements: Ability to lift up to 50 lbs, standing for long periods of time, walking up and down stairs multiple times a day.
  6. Bilingual (E/F) an asset but not required
