The Opportunity Join the dynamic team at Prime Quadrant as an Administrative Associate. This role is perfect for a highly organized, proactive individual who thrives in a collaborative environment and is eager to contribute to the success of our events and administrative operations. Primary Responsibilities: Provide administrative support to the CEO’s office, including managing calendars, scheduling meetings, managing expenses, and coordinating travel arrangements. Assist in the planning and executing corporate events, from initial concept to day-of logistics. Maintain and update databases, ensuring the accuracy and confidentiality of information. Attending to all receptionist duties, including answering the phone (Zoom-synched landline/desktop application) and directing out calls as needed Setting up and cleaning rooms before and after meetings Ensuring that the front desk and reception area are kept clean and organized at all times Maintaining kitchen orderliness and cleanliness Supporting Senior Leadership with special projects as needed Performing administrative duties such as filing and updating records

Secondary Responsibilities Greeting clients, visitors, and guests upon arrival, including seating and providing refreshments Ordering and receiving outside catering for meetings as requested Training a team of interns (2-3) on front desk duties and managing coverage schedules Ordering office supplies and groceries and managing office inventory and budget Liaising with building management and maintenance team Liaising with external vendors & suppliers Maintaining company directory and team member contact lists Assist with recruitment efforts

Qualifications: Previous experience in an administrative support role. Proficiency in office software and a willingness to learn new technologies. Ability to work independently and as part of a team in a fast-paced environment. A degree or diploma in business administration, event management, or a related field is preferred.
