WSA – Wonderful Sound for All (part of the WSAudiology group, under HearCanada) is seeking a Medical Secretary to support administrative and reception functions in our ENT clinic. This fast‑paced role requires attention to detail, confidentiality, and professionalism while handling high volumes of patients Monday‑Friday from 8:00 am to 4:30 pm.ResponsibilitiesAct as the key point of contact for patients by welcoming them, maintaining a safe and welcoming environment, and answering questions.Handle phone calls, return messages, and answer email and chat correspondence in a professional and efficient manner.Collaborate with clinic staff and leadership on patient escalations and special requests to meet patients’ unique needs.Maintain clinic and surgical schedules: reschedule cancellations, follow up on missed appointments, schedule high‑volume in‑clinic and surgical appointments, and manage call‑ahead reminders.Book diagnostic appointments and submit referrals.Maintain patient files, both virtually and physically; file records and code files.Process forms, medical letters, reports, and charts into appropriate systems; use the EMR to enter and keep accurate records.Order supplies for the clinic, including office supplies, medical equipment and PPE.Operate office equipment (fax, scanner, phone system, printer) and collaborate with IT for troubleshooting.Handle mail and packages (incoming and outgoing).Attend company and clinic meetings as scheduled.Participate in required training and development activities (health & safety, policy, SOP, industry updates).Perform other duties as assigned within the scope of the role.QualificationsEducation and Certifications: Completion of secondary school or equivalency preferred; post‑secondary certificates in Medical Office Administration, Medical Terminology, etc. are an asset.Experience: Minimum 2+ years in a Medical Secretary or similar capacity; experience in a high‑volume clinic and in a multi‑physician ENT office preferred.Skills and Qualities: Efficient communication in English (verbal and written); professional demeanor; ability to prioritize, handle competing tasks, and maintain confidentiality; proficiency with Microsoft Outlook, Teams, Excel, and multi‑line phone systems.Other Requirements: On‑site, in‑clinic position; ability to sit, bend, and lift up to 50 lb; work authorization in Canada; successful national criminal background check.What We OfferStarting hourly rate of $23–$25 per hour plus an attractive bonus program.Benefits package including health, dental, vision, health spending account, and RRSP matching program.Generous time off: 3 weeks vacation, 7 paid personal days, and 1 paid volunteer day.Training and education opportunities.Employee perk program.HearCANADA is committed to fair and accessible employment practices, and we welcome and encourage applications from candidates with disabilities.
