Contract Administrator, Civil – GTA, Ontario

We are currently seeking a highly motivated and experienced Contract Administrator to join our clients civil engineering group. The Contract Administrator will play a crucial role in managing contractual agreements related to construction projects, ensuring compliance with regulations and standards specific to the Ontario region. The ideal candidate will possess strong organizational skills, attention to detail, and a thorough understanding of civil engineering practices in Ontario.

Responsibilities:
  • Review and analyze contractual documents, including agreements, specifications, and tender documents, to ensure alignment with Ontario construction regulations and requirements.
  • Develop and maintain comprehensive contract files, including correspondence, change orders, and amendments, in compliance with provincial standards.
  • Monitor contract performance and progress to ensure adherence to project schedules, budgets, and quality standards set forth by Ontario regulatory bodies.
  • Assist in the preparation and evaluation of tender documents, bid packages, and requests for proposals (RFPs) in accordance with Ontario procurement guidelines.
  • Coordinate the tendering process, including issuing invitations to bid, conducting pre-bid meetings, and evaluating bid submissions from contractors and suppliers.
  • Collaborate with procurement teams and stakeholders to negotiate contract terms, select qualified bidders, and award contracts based on Ontario-specific criteria.
  • Administer change orders and variations to contracts, ensuring proper documentation, approval, and implementation in compliance with Ontario construction laws and regulations.
  • Evaluate the impact of proposed changes on project scope, cost, and schedule, and facilitate negotiations with contractors and subcontractors to minimize disruptions and delays.
  • Monitor and track changes throughout the project lifecycle, ensuring that modifications are executed according to Ontario regulatory requirements and project specifications.
  • Ensure compliance with Ontario Building Code, Occupational Health and Safety Act, and other relevant regulations governing construction projects in the province.
  • Stay informed about changes in Ontario construction legislation, standards, and industry practices, and implement necessary updates to contract management processes accordingly.

  • Facilitate meetings, workshops, and training sessions to ensure effective communication and collaboration among project stakeholders and contractors operating within the Ontario construction sector.

Qualifications:
  • Diploma or Degree Civil Engineering, Construction Management, or related field.
  • Minimum of 6 years of experience in contract administration and inspection, preferably within the civil engineering or construction industry in Ontario.
  • Comprehensive knowledge of Ontario construction regulations, tendering processes, and contract law.
  • Strong analytical skills and attention to detail, with the ability to interpret complex contractual documents and technical specifications.
  • Excellent communication, negotiation, and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Certification in contract management (e.g., CCCM, PMP), CET or P. Eng designations are an asset; eligibility for membership in a relevant professional association (e.g., Professional Engineers Ontario, Ontario Association of Certified Engineering Technicians and Technologists) is preferred.
