This role involves managing inquiries, showing vacant suites, promoting resident retention, and collaborating with the Marketing Team to optimize advertising and promotions. The Leasing Specialist will also handle lease administration, including online applications and tenancy agreements, while ensuring vacant units are well-maintained and ready for new residents.

Strong customer service skills, residential leasing experience, and the ability to work flexible hours, including weekends, are essential. The position also requires a valid driver’s license and access to a vehicle for travel between assigned properties.

Compensation: $45,000 base salary with $150 commission per fully executed lease.

Main Responsibilities

Information & Relationship Management:

  • Provide detailed information about vacant suites to prospective residents.
  • Manage email leads to lease completion for all properties and assist with CRM lead programs.
  • Respond to rental inquiries promptly in person, by phone, and email.
  • Schedule appointments, build relationships, and show vacant suites.
  • Complete guest cards, daily traffic reports, and provide weekly summaries to leasing and marketing departments.
  • Promote resident retention by effectively communicating with existing residents and resolving issues.
  • Maintain knowledge of competitive buildings and conduct regular market surveys.
  • Provide feedback on rental rates, promotions, and market conditions to maximize revenue.
  • Collaborate with the Marketing Team to update advertising, media channels, and signage.

Leasing And Lease Administration:

  • Promote online leasing processes, including applications, deposits, and resident portal registrations.
  • Maintain the customer database, ensuring all leads are responded to and traffic documented.
  • Provide prospective residents with rental application forms or online instructions.
  • Schedule and manage Tenancy Agreement signings.
  • Notify applicants of their application status within two business days.
  • Return monies to declined applicants as per company policy.
  • Track leasing metrics to aid decision-making.
  • Manage initial tenant insurance administration.

Preparation For Leasing And New Residents:

  • Inspect vacant units weekly.
  • Ensure suites are delivered on time and as promised by coordinating with Property Management.
  • Ensure units are clean and well-maintained; perform minor cleaning if necessary.
  • Coordinate move-in procedures with the Site Administrator.

Administrative And Office Support:

  • Ensure precise filing of all relevant documents.
  • Maintain effective communication with the Residential Property Manager and the Marketing and Leasing Teams.
  • Perform other duties as required.

Qualifications:

  • Secondary school completion, college degree preferred.
  • 3-5 years of customer service/sales in a fast-paced environment.
  • Residential property management experience preferred.
  • Experience with Yardi Voyager & Property Vista preferred.
  • Excellent presentation and communication skills.
  • Team player with strong administrative, organizational, multi-tasking, and time management skills.
  • Professional image and high stress tolerance.
  • Valid driver’s license and access to a vehicle required.
  • Willingness to work irregular hours, including evenings and weekends.
