Operations & Office Assistant

Yumi Organics is looking for an Operations & Office Assistant to join our ever-growing team You will manage the day-to-day order processing, logistics, inventory, and operations processing and serve as the entire team’s support system. No day is ever the same, and you will learn so much about the different facets of the North American & International Food & Retail Industry. The ideal candidate is a Jack/Jill-of-all-trades, hyper-organized, and focused enough to juggle multiple departments and projects. Above all else, we seek an open-minded team player who cares about the growth and success of the Yumi Organics team.

About Yumi:

Our vision is to become the brand name known for Overnight Oats and to build out this subcategory of cereal as the number one leading brand. We are currently sold in over 3000+ retail stores across Canada, including Walmart, Loblaws, Metro, Save on Foods, and Sobeys. Our products are also sold on Amazon and our own E-commerce platforms. Our focus this year is on the US and Australian Markets. We are a Montreal-based Overnight Oats company founded by a certified nutritionist, aiming to make healthy eating easy, fun, and delicious, starting with breakfast We are the first in Canada to launch a line of Overnight Oats to retail, and we are excited to be the first to launch a line of Probiotic Trail Mixes & Super Seeds in Canada as well.

Job Description:

Your main responsibilities will include:

  1. Process Business to Business (B2B) purchase orders and schedule transportation of products & raw materials between warehouses (About 15 orders a week)
  2. Prepare and send samples of products to potential partners & clients
  3. Support supply chain manager in overseeing inventory of all warehousing & production partners
  4. Look for ways to streamline logistics and operations
  5. Oversee our E-commerce fulfillment center needs
  6. Aid production team on production runs to ensure timely execution of supply chain logistics with proper documentation and quality certifications
  7. Work with our bookkeeper to validate invoices from warehousing partners, transportation carriers, office supplies, etc.
  8. Assist the team during Tradeshow season with logistics, movement of inventory, flight bookings, accommodations, etc.
  9. Support day-to-day tasks of processing forms and paperwork
  10. Support the team in staying on key tasks
  11. Keep the office organized
  12. Assist colleagues from different departments to achieve their goals
  13. Give valuable feedback on solutions for streamlining internal processes
  14. Translate documents & texts from English to French, and vice-versa
  15. Ensure the office is supplied with everything the team needs

REQUIREMENTS:

  • Min. 3 years' experience as an Administrative Assistant
  • Bilingual (English and French)
  • Expert in Microsoft 365 & Excel
  • Must be tech-savvy
  • Experience in Warehouse Inventory Management
  • Experience in Logistics & Supply Chain
  • Experience in Shopify & other E-commerce platforms
  • Experience in Project Management is a plus
  • Very organized and proactive individual
  • Very accurate in data entry and processing
  • Quick on basic data entry and processing tasks
  • Strong memory
  • Good problem solver and critical thinker
  • Able to work well under stress
  • Great at meeting timelines and deadlines
  • Good with numbers and mathematics
  • Project management experience is a plus
  • Must be able to work quickly in a fast-paced environment
  • Able to juggle multiple moving pieces of order processing and logistics
