We are looking for a full-time Maintenance Services Coordinator to join our residential rental team in London at our Berkshire Club location. The Maintenance Services Coordinator will support the daily maintenance demands of service requests related to the residential portfolio, including connecting with tenants, scheduling and coordinating maintenance projects, and maximizing customer and contractor relationships. They will provide excellent customer support to tenants and a high-level integration between all maintenance team members, ensuring a positive resolution to any maintenance issues affecting the safety, attractiveness, and competitive impact of our residential rental communities.

About the Role
  • Administrative, planning, and scheduling role. Responsible for the efficient flow of maintenance requests and their resolution. Ensures that maintenance requests, whether via phone, email, or in person, are received in a timely manner and entered into Salesforce promptly. Follow up with residents about the status of requests or repairs to ensure open communication with tenants.
  • Issue routine maintenance requests to the Inside & Outside Maintenance teams.
  • Establish priorities for maintenance requests to resolve outstanding work orders.
  • Accurately code all invoices from trades and suppliers and obtain the necessary authorization for payment. Using Docuware system for all invoice processing.
  • Prepare and deliver correspondence to residents regarding day-to-day in-suite work, move-in and move-out inspections, scope of work, and purchase orders. Assist in contractor scheduling and communication.
  • Engage professionally and collaboratively with clients, peers, and vendors and actively participate in team and community initiatives.
Experience
  • Intermediate knowledge of Word, Excel, Outlook, and other related computer programs.
  • Knowledge of the Residential Tenancies Act, fire code, and building code is an asset.
  • Experience in project coordination and aspects of property management.
  • Proven ability to work in a quick-paced and demanding environment.
  • High attention to detail and proficient in scheduling multiple trades and team members.
  • Ability to identify the problem promptly and work towards a positive resolution.
  • Skilled at research, data collection, and quotation review/comparison.
