Job Title: Dental Patient Support Centre

Job Summary:

The Patient Support Representative plays a crucial role in providing exceptional customer service and administrative support to patients, dental practitioners, and other healthcare professionals. This position involves answering phone calls, scheduling appointments, verifying insurance information, and assisting with inquiries related to dental services and procedures.

Key Responsibilities:

  1. Customer Service:
    • Professionally answer incoming calls and address inquiries from patients, dental professionals, and other stakeholders.
    • Provide friendly and empathetic assistance to patients with questions about appointments, treatments, and billing.
  2. Appointment Scheduling:
    • Schedule and reschedule dental appointments based on patient preferences and practitioner availability.
    • Efficiently manage the appointment calendar to optimize scheduling and minimize conflicts.
  3. Insurance Verification:
    • Verify patient insurance information, coverage, and eligibility.
    • Assist patients in understanding their insurance benefits and payment options.
  4. Patient Records Management:
    • Maintain accurate and up-to-date patient records, including personal information, medical history, and treatment plans.
    • Ensure compliance with patient confidentiality and data protection regulations (HIPAA or relevant local regulations).
  5. Billing and Payment Processing:
    • Assist in processing payments, handling billing inquiries, and coordinating with billing departments or insurance companies as needed.
  6. Communication:
    • Relay messages and coordinate communication between patients and dental practitioners or specialists.
    • Provide clear and concise information about dental procedures, pre-appointment instructions, and post-treatment care.
  7. Problem Resolution:
    • Address and resolve patient concerns or complaints in a professional and empathetic manner.
    • Escalate complex issues to appropriate personnel when necessary.
  8. Administrative Duties:
    • Perform administrative tasks, such as filing, data entry, and maintaining office supplies.
    • Assist in managing the reception area, including checking in patients and ensuring a welcoming atmosphere.

Qualifications:

  • High school diploma or equivalent (some positions may require post-secondary education or dental office experience).
  • Strong communication skills, both verbal and written.
  • Excellent customer service and interpersonal skills.
  • Proficiency in using office software and dental practice management software (e.g., Dentrix, Eaglesoft).
  • Attention to detail and the ability to multitask efficiently.
  • Knowledge of dental terminology and procedures (preferred).
  • Understanding of patient privacy regulations (e.g., HIPAA).
  • Ability to remain calm and composed in high-stress situations.
