Position Summary

Under the direction of the Supervisor – Payroll, the Payroll & Benefits Coordinator participates in the payroll production process and supports other related payroll and benefits activities.

Major Responsibilities

  1. Assumes the duties of all payroll functions for vacation relief and/or as required; ensures up to date knowledge with all payroll functions.
  2. Reviews employee Vista payroll entries for completeness and accuracy.
  3. Reconciles payments to G/L & submits payments to Finance.
  4. Assumes the primary role for processing the pension plan by completing and submitting all forms to OMERS including enrolments, waivers, terminations, and leaves. Reconciles year-end.
  5. Provides guidance and information to retiring employees, regarding leave calculations and benefits.
  6. Processes personnel changes in payroll system such as increments, reclassification, and promotions; ensures accuracy of documents prior to filing in employee personnel files.
  7. Participates in onboarding orientations and provides Vista training.
  8. Maintains employee benefits, including registration, terminations, and employee status and rate changes; reconciles monthly payments.
  9. Is the primary contact for all employee benefit inquiries and manages discrepancies with the insurance carrier.
  10. Maintains part-time hour reports. Regularly communicates results to appropriate managers.
  11. Maintains seniority and employee progression lists.
  12. Creates reports, including Crystal reports requested by divisions and/or directed by Supervisor Payroll.
  13. Answers general inquiries from management or employees concerning leave balances, attendance, and payroll.
  14. Knowledgeable of the provisions of employment policies, procedures and processes, and collective agreements.
  15. Provides quarterly and annual attendance reports to people leaders, as well as on an ad-hoc basis.
  16. Maintains an up-to-date knowledge of and complies with all legislation and Tbaytel policies relevant to the position and the duties performed.
  17. Provides support to Human Resources Team as required.
  18. Performs other duties as assigned.

Minimum Qualifications

  1. Degree or diploma in Business Administration, Finance or related field.
  2. Two years of experience performing all payroll activities, including experience with payroll and HRIS systems.
  3. Excellent problem-solving skills with keen attention to detail and strong time-management and multitasking skills.
  4. Demonstrated accuracy with data entry.
  5. Strong interpersonal skills with a demonstrated ability to function as an effective team member.
  6. Professional and courteous verbal and written communication skills with the ability to deal effectively with customers.
  7. Proficiency in the use of various computer software programs, such as email, MS Office (Excel, Word, PowerPoint) and Google Drive (Sheets, Docs, Slides) with the ability to learn new software as required.

Preferred Qualifications

  1. Experience with the VISTA payroll system.
  2. Payroll Compliance Practitioner (PCP) certification.

  1. Must successfully undergo a satisfactory criminal records check.
