Office Assistant 2 - (Internal - #24/053) (Regular Part-Time)

The incumbent is responsible for providing clerical and administrative support for the Civic Facilities Division. The incumbent must possess excellent interpersonal and communication skills for interacting with internal and external customers in a professional and efficient manner. This section functions in a team environment, requiring the incumbent to be flexible in workload and duty-sharing responsibilities.

Responsibilities include payroll time entry, data entry, filing, reception, work records, answering and/or directing inquiries, preparing requisitions for goods and/or services, and City Ware enquiries and reporting. In the course of his/her duties, the incumbent is required to use various City Ware modules, Visa systems, City Works (CMMS) and EDMS document management. Performs other related duties.

Requirements:

High school graduation, supplemented by a post-secondary vocational or college course/program in business, bookkeeping, office administration or another relevant field.

Minimum of two years' relevant office experience with a focus on customer service.

Considerable skill and accuracy with data entry tasks, knowledge of office systems and procedures. General understanding of accounting procedures. Ability to type accurately 45 wpm. Professional telephone manner. Ability to make repetitive numerical calculations with speed and accuracy and to control and balance various records and summaries. Ability to complete and/or review detailed forms, applications, and other documents. Demonstrated commitment to customer service. Demonstrated attention to detail. Ability to effectively respond to a high volume of inquiries and handle multiple tasks. Ability to serve customers independently and to recognize when customers should be referred. Excellent interpersonal and communication skills for providing information and service to the public, internal and external customers, and co-workers. Ability to work within, and contribute to, a proactive team environment. Ability to deal courteously, tactfully, +and diplomatically with other City staff, representatives of other organizations, and members of the general public. Strong self-motivation and initiative. Strong time management and multi-tasking skills, plus an affinity for working closely with other members of the team. Ability to prioritize work with little direct supervision. Knowledge of and demonstrated skill in using computer applications pertaining to the work including Cityware, CityWorks, Adobe (PDF editing Software) and MS Office programs. Knowledge and experience with Kantech access control software and Alarm.com Enterprise security system portal is preferred but not required. Ability to learn new software applications. Knowledge of WorkSafe BC regulations, occupational hazards, and safe work procedures as it relates to the position, including but not limited to bullying and harassment, working alone and other significant hazards.

Your regular and overtime hours of work will be scheduled by your supervisor; overtime may be required due to operational need.
