The successful candidate will have a strong background in administrative healthcare management, excellent organizational skills, and the proven ability to manage and lead an administrative team. The Administrative Team Manager will be responsible for ensuring the highest quality of patient care services, managing clinic administrative staff, overseeing of client files and third party payers and maintaining compliance with healthcare regulations.

Responsibilities:
  • Oversee the daily operations of the healthcare clinic
  • Manage and supervise administrative staff, including hiring, training and performance evaluations and scheduling
  • Nurtures and maintains a pleasant work environment, ensuring elevated levels of organizational effectiveness, communication and safety
  • Comprehensive working knowledge of Clinicmaster, healthcare systems, MS Office Suite
  • Monitor and improve clinic processes for efficiency and effectiveness
  • Plan and implement office systems, procedures, procurement, policies
  • Maintain clinic facilities and equipment
  • Ensures clinic protocols, processes and procedures are adhered to
  • Assists Clinic Director with medical professional team schedule
  • Oversee the management of client files, including third party insurers, WSBC and ICBC
  • Oversees the scheduling and billing processes for all files and third party-payers, MSP, ICBC and WSBC
  • Responsible for reconciliation of all client files
  • Accounts Payable/Receivables, staff payroll and monthly bill reconciliation in conjunction with bookkeeper
  • Cultivate relationships with vendors
  • Assist with website improvement and social media campaigns
  • Reporting to Clinic Director
Qualifications:
  • Bachelor's degree in Healthcare Administration, Business Administration, or equivalent experience
  • Five years of experience in healthcare management, preferably in a clinic setting
  • Strong knowledge of healthcare regulations and standards
  • Proficiency in healthcare management software, Clinicmaster, MS Office, Excel, Outlook
  • Third party billing and insurer experience, WSBC, ICBC, MSP
  • Excellent leadership and team management skills
  • Proven ability to build a positive workplace culture
  • Scheduling experience
  • Strong organizational and problem-solving abilities
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Knowledge of marketing, web management and social media campaigns an asset
