Description

The Community Rehabilitation Disability Study in the Cumming School of Medicine invites applications for a Program Operations Advisor. This Full-time Fixed Term position is for approximately 2 years (based on length of grant funding), with the possibility of extension.

Reporting to the Associate Dean, Undergraduate Health & Science Education (UHSE), works closely with the Student Advisor and Program Directors to support undergraduate student administration and affairs in the Bachelor of Community Rehabilitation (BCR) program.

The Program Operations Advisor works within University and program policies, guidelines and procedures, and will be required to exercise judgment and decision-making around interpretations and applications of these, which can have major impacts on both student and program success. The Program Operations Advisor also demonstrates a commitment to undergraduate education and contributes to a positive and inclusive learning and work environment.

The primary purpose of this position is to support the undergraduate student administration and affairs in the BCR program. In collaboration with the Student Advisor and Program Directors, the Program Operations Advisor assists with student registration, timetabling, exam scheduling and grade administration and contributes to program and recruitment events.

Summary of Key Responsibilities (job functions include but are not limited to):

Program Operations Support:

  • Collaborates with the Student Advisor, program director(s), and the Associate Dean (UHSE) on all aspects of student affairs, from registration to convocation, for the BCR program.
  • Collaborates with the Student Advisor to provide accurate and comprehensive program advice related to student affairs to students, community, faculty, and other university staff.
  • Handles timetabling, exam scheduling, and grades including advisory support to faculty instructors regarding course coordination and grade submissions.
  • Contributes to the planning, organization, and implementation of program and recruitment events.
  • Collaborates with the Student Advisor to recommend and initiate change to improve the student administration operations for the BCR program.
  • Supports exams, course evaluations and grade submissions and changes during peak periods.
  • Keeps Associate Dean (UHSE), program director(s), and Student Advisor informed of critical information related to student affairs that may impact the program's decision-making process.

Reporting and Administrative Support:

  • Maintains reports and data queries utilizing report building tools such as PeopleSoft Query, and PowerBI and presents information in a clear and cohesive manner.
  • Supports the Student Advisor and the Associate Dean (UHSE) in making decisions related to undergraduate course management by pulling data from reporting systems and providing analysis.
  • Facilitates communications between BCR students and the Immunization Specialist at the Cumming School of Medicine.
  • Works with the Associate Dean (UHSE) to design, collect and provide administrative review of course outlines.

Qualifications / Requirements:

  • A four-year undergraduate bachelor's degree is required.
  • Minimum three years of experience in student or program administration, with experience in student or program advising in a university setting.
  • Demonstrated report preparation expertise and data analysis.
  • Experience working in a dynamic team with proven personal effectiveness and productivity and high attention to detail.
  • Strong interpersonal and communications skills.
  • Strong organizational, analytical, and problem-solving skills with a high attention to detail.
  • Ability to be resourceful, to think critically and creatively under pressure while exercising good judgement and discretion.
  • Advanced computer skills including MS Office Suite (including Word, Outlook, PowerPoint, and a high level of expertise in Excel).
  • Experience with Banner or PeopleSoft (Student Administration), SharePoint, PowerBI and Qualtrics.
  • Ability to interpret policies, procedures and regulations.
  • Knowledge of university policies and procedures associated with student administration and affairs.
  • Knowledge of the Freedom of Information and Protection of Privacy Act.
  • Ability to build relationships to accomplish goals with diverse groups within and outside the Cumming School of Medicine.
